Description

An Event Sales Coordinator role in Woodinville, WA is available at Chateau Ste. Michelle. This role supports the sales, planning, and coordination of private events, corporate meetings, social gatherings, receptions, wine experiences, and other hospitality programs. The Event Sales Coordinator serves as a key point of contact for clients throughout the inquiry, booking, and planning process while partnering with internal teams to ensure events are accurately documented, effectively communicated, and executed to a high standard.

This is a full-time, hourly role that is eligible for tips. This role requires flexible availability (daytime, evening, weekend, and holidays) based on event schedules and business needs.

Event Sales Coordinator job responsibilities include:



  • Respond to event inquiries in a timely, professional, and guest-focused manner, providing information about event spaces, packages, pricing, food and beverage options, and available experiences.
  • Qualify leads, conduct site tours, prepare proposals, and support the conversion of inquiries into confirmed event bookings.
  • Maintain detailed log of inquiries and follow-up on all events.
  • Coordinate client contracts, deposits, payment schedules, event documentation, and required client approvals in partnership with event leadership Maintain accurate event details, client communications, timelines, and booking information in designated event management, CRM, calendar, and shared planning systems.
  • Partner with clients to coordinate event details, including guest counts, room setup, food and beverage selections, wine service, rentals, audiovisual needs, decor, vendor access, and day-of timelines.
  • Prepare and distribute event orders, planning documents, diagrams, and internal communications to ensure all participating departments have complete and accurate information.
  • Collaborate with culinary, hospitality, tasting room, facilities, security, marketing, and other internal teams to support event planning and seamless execution.
  • Track event sales activity, bookings, deposits, payments, and revenue information; assist with routine reporting and sales pipeline updates.
  • Support onsite event execution as needed, including client arrival, vendor coordination, timeline management, guest requests, and issue resolution.
  • Conduct post-event follow-up with clients and internal teams, document feedback, and support future booking and relationship-building opportunities.
  • Maintain a professional, responsive, and hospitable client experience that reflects Chateau Ste. Michelle service standards.


Physical Requirements:



  • Ability to stand, walk, or sit at a desk for extended periods of time.
  • Ability to work in various weather conditions.
  • Ability to lift and carry up to 50 pounds and assist with event setup or breakdown as needed.


Position Requirements:



  • Must be at least 21 years of age with a high school diploma or equivalent.
  • Bachelor's degree in Hospitality Management, Event Management, Business, Marketing, Communications, or a related field preferred.
  • Class 12 MAST Permit and Food Handler's Permit required.
  • Two (2) or more years of experience in event sales, event coordination, hospitality, catering, venue sales, winery operations, or a related guest-service environment preferred.
  • Strong sales, client service, written communication, and verbal communication skills.
  • Excellent organizational skills, attention to detail, and ability to manage multiple events, priorities, and deadlines.
  • Ability to build effective relationships with clients, vendors, and cross-functional internal teams.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint; experience with CRM, event management, reservation, or diagramming systems preferred.
  • Strong problem-solving skills and ability to remain professional and responsive when event details or priorities change.
  • History of responsible use of alcohol and other appropriate conduct, as well as fitness to be licensed, permitted, and/or certified by state and/or local regulatory bodies.


Your Compensation:

$21.41 - $27.83 per hour based upon relevant experience.
