Business Systems Supervisor for HealthPartners Plastic Surgery Position Summary The Business Systems Supervisor leads frontline and surgery scheduling staff while partnering with the Clinic Manager, Clinic Medical Director (CMD), and/or Care Delivery Supervisor (CDS). This role oversees staff, operational performance, patient experience, revenue cycle processes, scheduling, and business systems to ensure efficient, high-quality care delivery and exceptional patient service. Key Responsibilities Leadership & Staff Management
- Supervise frontline and surgery scheduling staff, including hiring, onboarding, coaching, performance management, and employee development.
- Ensure compliance with organizational policies, procedures, and service standards.
- Foster a culture of accountability, teamwork, and continuous improvement.
- Cross functional partnership with Plastic Surgery Departments across the organization.
Patient Experience
- Champion Patient Excellence and service-focused behaviors.
- Address patient concerns, oversee complaint resolution, and identify opportunities to improve satisfaction.
- Monitor patient feedback and collaborate with leadership and staff to implement improvements.
Operational & Business Systems Oversight
- Oversee revenue cycle activities, scheduling, registration, referrals, authorizations, health information management, and telephone operations.
- Monitor operational performance, data integrity, and compliance with regulatory and organizational requirements.
- Collaborate with Epic, Revenue Services, Coding, Compliance, Patient Accounting, and other stakeholders to improve workflows and outcomes.
- Support business continuity, system performance, and process improvement initiatives.
Financial Management
- Support revenue optimization and resource stewardship.
- Authorize expenditures and participate in capital planning.
Department-Specific Responsibilities
- Manage scheduling access and templating, patient registration workflows, revenue cycle processes, telephone performance, and health information functions.
- Serve as a liaison with Revenue Services, Patient Accounting, Claims, Billing, and Member Services.
- Support specialty-specific operational needs, including surgery scheduling, OR utilization, retail workflows, and payment processes as applicable.
- Travel between clinic and administrative locations as needed.
Required Qualifications
- Bachelor's degree in Business, Healthcare, or related field, or six years of equivalent experience.
- Two years of healthcare operations, customer service, or related experience.
- Demonstrated leadership, project management, problem-solving, analytical, communication, and organizational skills.
- Ability to manage staff, resources, and operational budgets.
- Experience using data and performance metrics to improve patient experience, access, and operational outcomes.
Preferred Qualifications
- Experience with Epic Cadence scheduling, templating, and related system functions.
- Experience with EpicCare Ambulatory workflows.
- Knowledge of Lean, process improvement, or quality improvement methodologies.
