Location: Hybrid within Yulee, FL or Dover, DE locations

Your role in our success:

Provides proactive, high-quality administrative support to a portfolio of approximately five to seven AVP- and VP-level officers while serving as back-up support for Senior Leadership Team (SLT) executives. The Executive Assistant protects leaders' time, coordinates complex schedules and logistics, prepares leaders for meetings, and ensures confidential and time-sensitive matters are handled with sound judgment, discretion, accuracy, and follow-through. The role works closely with the Senior Executive Assistant and administrative support team to provide seamless coverage, consistent service, and coordinated support across the organization.

What you'll be working on:



  • Prioritize complex calendars for five to seven assigned AVP/VP officers, including recurring meetings, cross-functional commitments, external appointments, and schedule changes; proactively identify conflicts and recommend solutions. Serve as back-up for SLT executive related tasks as delegated by Senior EA.
  • Coordinate domestic travel and related logistics, including itineraries, transportation, lodging, meeting
    details, and changes; prepare and submit accurate expense reports in accordance with company requirements.
  • Plan and coordinate internal and external meetings, including scheduling, agendas, materials, rooms or
    virtual platforms, catering, technology, attendee communications, and follow-up actions.
  • Coordinate department and leadership events, site visits, team meetings, and special projects, partnering
    with Office Managers, Shared Services Administrators, Facilities, IT, and other internal resources as needed.
  • Contribute to a consistent administrative support model by documenting procedures, sharing coverage
    information, supporting continuous improvement, and providing reliable cross-coverage during absences
    or periods of high demand.
  • Serve as a trusted point of contact for assigned officers, employees, business partners, and external
    stakeholders; appropriately triage requests, resolve routine matters, and escalate issues requiring leader
    attention.
  • Provide back-up administrative support for SLT executives as assigned, executing calendar, travel,
    expense, meeting, and event logistics in coordination with the Senior Executive Assistant and established
    service expectations.
  • Maintain organized electronic records, calendars, and administrative files; handle sensitive business and
    personnel information with a high degree of confidentiality and discretion.
  • Assist with departmental communications, recognition activities, onboarding logistics, and other team
    initiatives.
  • Provide administrative assistance for enterprise events or special assignments based on business needs.
  • Support process documentation, service tracking, and administrative metrics used to evaluate workload
    and service delivery.
  • Participate in administrative team meetings, training, and knowledge-sharing activities.
  • Perform other related duties as assigned.


Who you are:



  • High school diploma or equivalent required. Associate degree in business administration, office administration, or a related field preferred.
  • An equivalent combination of education and relevant experience may be considered.
  • Minimum five years of progressively responsible administrative support experience, including experience supporting multiple senior leaders in a fast paced, complex environment.
  • Experience providing executive-level back-up support preferred.
  • Exercises independent judgment in prioritizing executive and organizational priorities.
  • Determines appropriate responses to administrative and operational issues.
  • Acts on behalf of assigned executives within established authority.
  • Independently resolves issues and recommends solutions impacting executive effectiveness.
  • Knowledge of executive-level administrative support, office operations, and business correspondence.
  • Knowledge of calendar management, meeting coordination, travel arrangements, and expense reporting.Knowledge of records management, confidentiality requirements, and professional office practices.
  • Proficient knowledge of Microsoft 365 applications, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Strong organizational, prioritization, and time management skills.
  • Excellent written and verbal communication, proofreading, and customer service skills.
  • Skilled in managing multiple priorities, solving problems, and maintaining attention to detail.
  • Strong interpersonal and technology skills with the ability to build effective working relationships.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Ability to anticipate needs, adapt to changing priorities, and meet deadlines.
  • Ability to coordinate activities across departments and support multiple leadership levels.
  • Ability to provide accurate, responsive support while managing competing demands with minimal
    direction.
  • Standard driver's license
