Position Title: Contract Documentation Specialist
Work Location: Mettawa, Illinois
Assignment Duration: 2 years
Work Schedule: Monday-Friday
Work Arrangement: Hybrid - Monday and Friday remote; Tuesday, Wednesday, and Thursday onsite (non-negotiable)
Position Summary
This position supports the Trade Program Solutions ("TPS") team by facilitating the creation, negotiation, execution, and maintenance of wholesale contracts and associated documents, with a primary focus on regional Distribution Services Agreements ("DSAs") and related amendments and notices. The individual will oversee regional DSA contracting activities, lead cross-functional maintenance of Standard Terms & Conditions of Purchase, and proofread and finalize HDA Standard Pharmaceutical Product and Medical Device Information Forms for signature.
Background & Context
Serving as a wholesale contracting subject matter expert and liaison, the individual will partner with Market Access Trade, Legal, OEC, Government Pricing, Procurement, Demand Planning, and other internal and external stakeholders to maintain compliant contracting processes and programs. The individual will work independently with minimal supervision and adhere to OEC policies and procedures, including periodic training modules and certifications.
Key Responsibilities
- Coordinating regional DSA contracting activities from intake through signature, including template preparation, stakeholder review, issue resolution, approval routing, and timely execution.
- Preparing, reviewing, and facilitating the negotiation of regional DSAs, related amendments and notices, and other associated wholesale contracting documents in accordance with policies and procedures, escalating non-standard terms, and coordinating cross-functional review and approval through execution.
- Leading a cross-functional team responsible for reviewing, updating, and maintaining Standard Terms & Conditions of Purchase, including coordinating stakeholder input, approvals, version control, and periodic updates.
- Proofreading HDA Standard Pharmaceutical Product and Medical Device Information Forms for accuracy, completeness, consistency, and required supporting information; coordinating corrections and approvals; and finalizing and routing the forms for signature.
- Maintaining accurate and complete records for wholesale contracts and associated documents, including regional DSAs, amendments, notices, Standard Terms & Conditions of Purchase, HDA forms, and related approvals, in designated repositories and workflow platforms such as the Shared Drive, Smartsheet, and Pramata.
- Serving as a wholesale contracting subject matter expert and liaison while partnering with Market Access Trade, Legal, OEC, Government Pricing, Procurement, Demand Planning, and other internal and external stakeholders to resolve contracting issues, support compliant processes and programs, and meet execution timelines.
- Working independently with minimal supervision and adhering to OEC policies and procedures, including periodic training modules and certifications.
Position Accountability/Scope
The individual is responsible for supporting the TPS team's regional wholesale contracting portfolio, with accountability for regional DSA activities, maintenance of Standard Terms & Conditions of Purchase, and the accurate completion and signature readiness of HDA Standard Pharmaceutical Product and Medical Device Information Forms. As an experienced contributor, the individual is expected to manage assigned contracting workstreams, lead cross-functional coordination, and deliver timely, accurate, and compliant outputs with minimal supervision and technical guidance. The individual must act independently, exercise sound business judgment within defined guidelines, and escalate legal, compliance, operational, or commercial issues as appropriate. This position will report to the Program Manager, Trade Program Solutions.
Qualification & Experience
- Five or more years of progressive experience in contracting, contract administration, procurement, finance or accounting, or a related business function. Experience supporting wholesale, distribution, or pharmaceutical contracting is preferred.
- Strong organizational, analytical, problem-solving, and planning skills.
- Exceptional attention to detail and demonstrated proofreading skills, including the ability to finalize contracts and standardized forms for approval and signature.
- Ability to review and identify data and document discrepancies.
- Excellent interpersonal, verbal, and written communication skills.
- Strong computer skills, including experience with Microsoft Office, Adobe, and Smartsheet. Pramata experience is a plus.
- Ability to manage and coordinate multiple activities and due dates, often with shifting priorities, under tight time constraints.
- Highly motivated self-starter who can translate broad directions into high-quality analytical output.
- Ability to gather data from a variety of sources to use in document and report preparation.
- A bachelor's degree is required; a BA or BS in a business discipline is preferred.
- Paralegal experience is a plus.
