Days & Hours: Monday through Friday, 37.5 hours per week. Standard work schedule is 9:00 am to 5:30 PM, may be adjusted. Flexible schedule may require evening and weekend hours during peak periods.



BASIC FUNCTION AND SCOPE OF JOB:

The External Affairs Coordinator supports the day-to-day execution of Golden Gate University's external communications and constituent engagement efforts, serving as the team's on-site point of contact at the San Francisco campus. This role assists with content development, digital and social media support, and brand-consistent materials across university channels, while also providing coordination support for donor and alumni communications, gift processing, event logistics, and stakeholder outreach. The Coordinator works closely with the Deputy Chief of Staff for External Affairs and partners across departments to ensure timely, accurate, and well-coordinated external messaging, with regular on-campus presence to handle in-person needs. This position is well suited to someone who enjoys variety, moves easily between projects, and wants to build broad experience across the external affairs function.



ESSENTIAL FUNCTIONS:

  • Serve as the team's on-site contact at the San Francisco campus, working on campus 1 to 3 days per week to handle in-person needs
  • Draft and edit content for GGU's social media channels and email communications
  • Assist with drafting communications materials, including newsletters, acknowledgment letters, and outreach content
  • Provide planning and on-site execution support for university events, including gathering and preparing materials on site, coordinating logistics, and assisting with day-of needs
  • Process incoming gifts and complete in-office check deposits, ensuring gifts are entered, acknowledged, and receipted accurately
  • Maintain the accuracy and integrity of donor and constituent records, including merging duplicates, resolving flagged records, and keeping data clean and audit-ready
  • Attach and organize gift documentation, correspondence, and supporting materials so records stay complete and accessible
  • Support ongoing data quality and reporting projects as assigned
  • Other duties as assigned

Qualifications

  • Education requirement:

    • Bachelor's degree in communications, marketing, public relations, or a related field


  • Years of experience:

    • 3 to 5 years of experience in communications, marketing, events, or constituent engagement; higher education or nonprofit experience strongly preferred


  • Knowledge of:

    • Social media platforms and content scheduling tools
    • Email marketing and CRM or constituent database systems, including data entry and record management best practices
    • Basic principles of brand voice and editorial consistency


  • Direct job-related requirements:

    • Must be based in the Bay Area and able to work on site at the San Francisco campus 1 to 3 days per week
    • Must have authorization to work in the United States and not require sponsorship, now or in the future
    • Comfort handling routine financial transactions, such as gift processing and bank deposits
    • Familiarity with donor or alumni database platforms (for example, Raiser's Edge or similar)
    • Experience with content management systems for website updates a plus


  • Skills and abilities:

    • Strong writing and editing skills, with attention to detail and consistency
    • Strong attention to detail, particularly when working with sensitive or financial records
    • Ability to manage multiple projects and deadlines across departments
    • Comfort working across both creative and administrative tasks, including occasional errands
    • Collaborative, low-ego approach to supporting a small, fast-moving team
