Brief Summary of Job Duties:

Provides leadership in the administration, oversight, management, and policy development for a comprehensive academic analysis, academic support, academic advising, tutoring, and mentoring program for student-athletes in all ICA Division I athletic programs at UCSB. Direct oversight of the Athletic admissions process, working in collaboration with the Director of Admissions, admissions counselors, and Athletic Academic Review Committee. Uses expert knowledge of current Institutional, NCAA, conference legislation, policy, and procedures. Responsible for the direct oversight of staff as well as programming to support academic success identified by retention and graduation of student-athletes. Responsible for creating and implementing systems to support the achievement of NCAA academic standards. Monitors satisfactory progress of student-athletes according to UCSB, conference, and NCAA rules and regulations, ensuring that this information is used to accurately advise student-athletes as they progress towards degrees. Analyzes complex student cases and develops solutions regarding NCAA initial and continuing eligibility. Serves as liaison between the College of Letters and Science/Intercollegiate Athletics and other academic and non-academic campus units. Provides training and education on NCAA regulations to college and department units. Direct oversight of the Athletic admissions process, working in collaboration with the Director of Admissions, admissions counselors, and the Athletic Academic Review Committee. Assists with the admissions evaluation process for prospective student-athletes. Develops and implements programs to enhance the academic and life skills opportunities for student-athletes. Creates and provides academic analysis and progress reports to ICA administration, L&S, department coaches, and staff. Assists with Academic Progress Rate (APR), Graduate Success Rate (GSR), and Federal Graduation Rate (FGR) reporting and documenting procedures in collaboration with the Registrar's office and the athletics department's compliance office. Assists with Admissions evaluation processes for prospective student-athletes. Develop, produce, and present reports on student-athlete outcomes to ICA administration and other academic and non-academic campus units such as L&S, the Office of the Chancellor, and the Academic Senate.

Required Qualifications:

  • Bachelor's Degree in related area and /or equivalent experience/training
  • 1-3 years Experience advising/counseling students in higher education or related field.
  • 1-3 years Experience assisting in coordinating programs, workshops, and community service and leadership development experiences for student-athletes.
  • 1-3 years Experience in academic advising in a higher education setting.
  • 1-3 years Experience in serving diverse student populations
  • Expert knowledge in current Institutional, NCAA, conference legislation, policy and procedures.
  • Advanced knowledge of advising and counseling techniques.
  • Thorough knowledge of college / school policies, procedures, and requirements.
  • Thorough knowledge of department/college / school precedents and application of policy.
  • Skills in judgment and decision-making, problem solving, and project management.
  • Ability to multi-task.
  • Abilities in problem identification, reasoning, and ability to develop original ideas to solve problems.
  • Knowledge of and ability to interpret NCAA legislation and UCSB Academic Senate Policy.
  • Knowledge of multiple majors, colleges, and schools.
  • Thorough knowledge of student advising techniques.
  • Demonstrated ability to write clear, concise, and precise reports and other business correspondence.
  • Strong computer skills including but not limited to: Google Suite, Zoom, MS Office
  • Familiar with Letters and Science departments and curricula.
  • Demonstrated computer proficiency using standard office and educational applications

Preferred Qualifications:

  • 1-3 years Experience in a supervisory role.
  • 1-3 years assisting students with issues such as grievances, appeals, academic standing, and other academic problems.
  • 1-3 years in using student information systems, databases, word processing and other technology needed to provide academic advising

Job Functions and Percentages of Time:

  • 65% Administration/Supervision - Responsible for administration, strategic planning, oversight, management, and policy development for a comprehensive academic support, academic analysis, academic advising, tutoring, and mentoring program for student-athletes (500+) in all ICA Division I athletic programs at UCSB. Focus on progress towards degree, retention, and graduation of all student-athletes. -Responsible for the direct oversight (including hiring and training) of staff: Academic Advisor, ICA study center staff/ attendants, peer advisors, tutors, and other academic skills specialists. Responsible for oversight of tutoring program in coordination with Campus Learning Assistance Services and hiring/staffing of tutoring services as appropriate. Responsible for hiring, staffing, and oversight of peer mentors and peer mentoring program. Educate academic support staff (mentors, tutors) as well as ICA/institutional staff and coaches on NCAA rules and regulations. -Monitor the day-to-day operations of the Academic Athletic Advising unit. Direct oversight of the staffing, resourcing, and maintenance of the Barber Academic Center. -Create and provide reports and written data regarding student-athlete recruitment, enrollment, retention, and academic success. Analyze, prepare and present data including but not exclusive to quarterly academic progress reports, sport grade reports, and graduation/ retention rates to ICA administration and other academic and non-academic campus units such as L&S, the Office of the Chancellor, and the Academic Senate. -Provide regular correspondence with students, staff, coaches, and faculty detailing and clarifying college and university policy. Attend regular L&S and ICA staff meetings, policy meetings, and professional development activities. -Identify, report, and act as liaison with the Office of Judicial Affairs and ICA compliance in cases of potential academic misconduct involving student-athletes and/or staff to ensure compliance with NCAA, conference, and University policies and regulations. -Serve as liaison with the Office of Admissions, the Committee on Academics, Enrollment and Relations with Schools (CAERS), and the Athletic Admissions Review Committee (AARC). Maintain tracking of recruited student-athletes and communicate admissions-related protocols and requirements to coaching staff. -Collect and report academic data as needed (e.g., for Academic Honor Roll achievements, Academic All-American nominations, etc.). -Identify and lead regular events to recognize the academic achievements of student-athletes. -Direct oversight of the ICA Degree Completion Program by assisting former student-athletes in identifying paths for degree completion in alignment with NCAA and institutional policies and practices. -Serve as a member of the ICA Scholarship Endowment Committee. Role requires the careful holistic evaluation of student applications for the disbursement of scholarship-related financial aid. -Utilizes unique expertise to oversee the process of ASAAP (Athletics Slot Admissions Application Package) and Pre-Evaluations submissions and consideration for admission aligned with UCOP and UCSB policy and procedures. Communicates with and collaborates with the director of admissions, admissions staff, and the faculty committees (CAERS and AARC) related to all aspects of the intercollegiate athletics/ admissions process. -Supports enforcement of all ICA admissions-related policies, procedures, annual education, and processes. Creates the process for and oversees tracking of and reporting of student-athlete data to CAERS and AARC -Develops and leads the ICA in regularly scheduled programming designed to train coaches and staff on UCSB admissions processes
  • 35% Administration/ Academic Advising/ Services - Oversee academic advisor portion of quarterly/annual institutional Certification of the NCAA academic eligibility of all (500+) student-athletes. Requires complex knowledge and ability to interpret NCAA legislation and UCSB Academic Senate Policy. -Develop and maintain accurate student-athlete files including academic progress updates, records of interactions and documents pertaining to academic performance, academic success plans, student/team schedules, and grade reports. -Develop and implement an infrastructure for referring and tracking student-athletes with learning disability testing needs and/or eligibility for DSP and/or other services. Develop and implement academic enhancement/enrichment programs for at-risk and first-year student-athletes. --Serves as an expert in current University and college degree requirements, and in college policy, procedures, and precedents related to undergraduate and graduate matters. Significantly guides and assists students in developing suitable educational plans consistent with personal goals and college, university, and NCAA policies. -Works with athletic coaches and sports performance staff to coordinate student-athlete course scheduling to avoid potential scheduling conflicts. Meets with athletic teams at the beginning of each term to review university, college, and athletic department advisement policy. Also, meets with continuing student-athletes prior to enrollment pass times to ensure students are taking degree-applicable units. -Consults with students with urgent issues or problems, including students in personal and/or emotional distress. Evaluates student needs and exercises independent judgment in referring students for further assistance to department faculty advisors or university offices, such as the College of Letters and Science, Office of Admissions, Office of the Registrar, Financial Aid, EOP, Counseling and Career Services, OISS, DSP, and the Ombuds Office. -Report academic progress/ concerns on a regular basis to ICA administration, staff, and coaches. Oversee and initiate case studies reviewed at weekly Gaucho Care meetings. Create clear, concise, and precise grade reports to be shared with ICA administration, staff, and coaches. -Supports efforts along with the ICA Compliance department to prepare and submit progress towards degree and initial eligibility waivers for student-athletes. -Responsible for evaluating and reviewing NCAA initial eligibility and continuing eligibility for prospective student-athletes in conjunction with ICA compliance, admissions and office of the registrar. Identify at-risk incoming student-athletes based on academic profiles upon enrollment to assess academic preparedness and determine the level of academic support needed for each student-athlete. -Oversight of student-athlete caseload identified by at-risk and/or first-year. Provides learning strategies for at-risk student-athletes by offering proactive, early, sustained, and individualized support plans to enhance academic success and develop independent, self-regulated learners. -Analyze records of students who have fallen into academic difficulty and implement corrective action. Help students set corrective academic goals that are specific, measurable, and realistic. Assist students in identifying potential sources of support on campus. Guide dismissed students through reinstatement procedures and make academic recovery recommendations. Where appropriate, help students consider alternative educational options. -Initiate communication and be a liaison with FAR regarding student-athletes' travel, class attendance, conduct, and grades. Serve as a resource to professors/academic departments regarding student-athlete issues such as coordinating exam proctoring. Oversee the utilization of systems for proper documentation of athletic academic advising and support, including but not limited to: Teamwork's Academics, Student Success Hub, AAA, Compliance and Recruiting.
