Overview

SUMMARY:

Assists the Project Manager and the team and conducts administrative operations at a Client Site.



Responsibilities

MAIN RESPONSIBILITIES:

    Answers telephone and directs calls or assists the caller as much as possible.
  • Greets visitors and reviews permit applications for accuracy.
  • Keeps common areas neat and clean at all times.
  • Works closely with team members and the client to ensure administrative tasks are completed correctly and in a timely fashion.
  • Maintains project files.
  • Responsible for accurate data entry, typing, proofreading, and self-checking of letters, reports, or other correspondence.
  • Ensures a safe and secure working environment.
  • Provides general office support, including but not limited to consolidating reports, monitoring incoming/outgoing correspondence, finalizing written documentation, monitoring status of periodic activities and reports, hardcopy/ electronic document filing, and other office administration-type functions.
  • Provide administrative support to construction staff, assisting in daily office needs and managing general administrative activities.
  • Take meeting minutes and distribute them in a timely manner
  • Prepare reports and other correspondence in an accurate and timely manner
  • Assist with the retention, tracking, preparation, and submission of project-related documents, reports, and correspondence
  • Other duties as assigned


Qualifications

EXPERIENCE QUALIFICATION:

Minimum of ten years of experience in the administrative field and demonstrated skills and proficiency.

EDUCATION/KNOWLEDGE:

High School Diploma/ Knowledge of clients' general office procedures.

SKILLS AND ABILITIES:

The Senior Administrative Assistant will have demonstrated competence in the administrative field through approximately ten years of experience. The Senior Administrative Assistant will have training and demonstrated knowledge of all Microsoft Office Suite/365 computer programs. Ability to use logical thinking and personal judgment to perform a variety of office tasks that require special skills and knowledge of the Clients' processes and procedures. Able to follow instructions without close supervision. Must be able to speak and write clearly and accurately, plan own work and occasionally the work of others, interact with people, and change work activities frequently while maintaining a "can do" attitude.

STATUS:

Full-time

The base hourly rate for this position is $26.78 to $31.35. Actual compensation will be determined based on work location, qualifications, experience, job-related skills, and relevant education or training.
