Job Summary Responsible for managing the administrative operations of a school, OR a medium to large academic department, OR several small departments within a college, OR a medium to large non-academic department. Typically includes all or most of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and / or human resources. Manages a professional staff, typically large, and / or comprised of professionals in various fields. Assumes accountability for decisions made by subordinates. Performs long and short term planning for function. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules. Department Overview The Department of Neurology at the University of California, San Francisco (UCSF) is one of the nation's premier academic neurology departments and among the largest departments within the UCSF School of Medicine. With an annual operating budget exceeding $340 million, the department advances its three-part mission of delivering exceptional patient care, conducting groundbreaking research, and educating the next generation of clinicians and scientists. Strategic Planning and Management of Chair Priorities Partners closely with the Chair, Chief Administrative Officer (CAO), Vice Chairs, and Division Chiefs as a strategic advisor to shape departmental priorities, develop strategies, and support execution of leadership objectives in a complex, matrixed academic medical environment. Orchestrates the Chair's executive workflow in collaboration with the Executive Assistant, ensuring optimal alignment of time, attention, and engagement with institutional priorities. Leads the preparation and coordination of leadership meetings, strategic initiatives, and high-impact special projects, including development of briefing materials, agendas, and executive recommendations. Synthesizes input from multiple stakeholders and governing bodies to inform decision-making, anticipates risks and emerging opportunities, and ensures structured follow-through on Chair-level actions. Serves as the primary integrator of Chair priorities across the enterprise, aligning stakeholders, resolving competing demands, and ensuring accountability for execution of strategic decisions. |

Strategic Initiatives, Program Development, and Community Engagement Leads the design, development, and implementation of department-wide programs, strategic initiatives, and special projects that advance organizational culture, engagement, and community building. Oversees activities such as leadership retreats, faculty engagement programs, recognition and incentive initiatives, and community events that strengthen connection across divisions and stakeholder groups. Translates departmental strategic priorities into structured programs that promote alignment and cross-functional collaboration. Develops and advances new initiatives to strengthen institutional culture and support departmental priorities. Evaluates program effectiveness using qualitative and quantitative measures and recommends improvements to enhance impact, engagement, and alignment with organizational goals. |

Executive and Department Communications Directs the flow of executive and departmental communications on behalf of the Chair, ensuring consistency, accuracy, and strategic alignment across all leadership messaging. Serves as the integrator and gatekeeper for Chair and departmental communications, managing high-level correspondence, leadership messaging, and information dissemination across the Chair, CAO, Vice Chairs, Division Chiefs, and administrative leadership bodies. Ensures timely and effective communication across governance structures to support decision-making and organizational alignment. Oversees and provides strategic direction to the department's communications function, including guidance for the department's communications specialist, and represents the Chair in communications matters as delegated. |

Administrative Executive Committee Leadership Serves as a core member of the Department's Administrative Executive Committee, responsible for aligning strategy, resources, and operational execution across administrative functions. Partners closely with the Chief Administrative Officer, Chair, Director of Finance, Director of Operations, and Director of Administration to resolve cross-functional priorities, align resource allocation, and coordinate execution of enterprise-wide initiatives. Contributes to high-level operational decision-making, ensuring integration and alignment of financial, operational, and administrative priorities across the department. |

Project Management and Organizational Effectiveness Leads and coordinates complex special projects that advance departmental priorities and are not otherwise assigned within the organization. Provides subject matter expertise for departmental systems and processes, conducts analyses and reporting as requested by departmental leadership, and identifies opportunities to improve efficiency, collaboration, and organizational effectiveness. Works closely with Finance, Research Administration, People, and Operations administrative leaders to implement initiatives and achieve desired outcomes. |

Supervision Supervises and directs the work of the Department's Executive Assistant, Communications Analyst, Administrative Coordinator, and other assigned staff supporting executive operations, communications, and strategic initiatives. Provides coaching, mentorship, and performance management while fostering a collaborative, service-oriented environment. Ensures effective coordination and execution of executive support, communications, project management, and departmental engagement activities. |
