Position Summary:
We have an exciting opportunity to join our team as a Executive Assistant - CNO Office - Full Time, Days - NSG-CNO Office - Full-Time - Monday - Friday 8:.

In this role, the successful candidate Under minimal supervision and according to general directions, performs varied secretarial and administrative duties such as composing and typing complex correspondence, relaying confidential information, gathering and interpreting information to develop complex statistical reports, maintaining departmental files and scheduling meetings and conferences. Uses discretion and judgment when screening important visitors and telephone calls, relaying confidential information, planning and organizing work load.

Job Responsibilities:

  1. Executive Assistant to the Vice President Finance -CFO

Performance Expectations:

  • Compose and type correspondence such as letters, response to request for information. Proofread and edit all written materials.
  • Gather, summarize statistics and prepare various financial spreadsheets, presentations and reports utilizing knowledge of a variety of computer applications.
  • Type confidential and sensitive reports, contracts and records.
  • Prepares meeting materials for monthly Finance Committee Meetings, posts Meeting Book to Board Portal and records and transcribes meeting minutes for appropriate distribution.
  • Completes and submits credentialing and re-credentialing application requests to Managed Care Companies, including compilation of supporting documentation.
  • Maintain files and records in an efficient manner.
  • Utilizes knowledge of a variety of hospital policies and procedures, in order to carry out assigned administrative responsibilities.
  • Coordinates the process of required administrative signatures on hospital wide purchase requisitions.
  • Coordinates the process of required signatures for varied PCR?s.
  • Assistant in the preparation and submission of Hospital wide Insurance policies. Maintain accurate records.
  • Responsible for the coordination/submission of the New York State Hospital Excess Liability Pool application process for all physicians
  • Responsible for maintaining up to date inspections and registration for all hospital vehicles.
  • Performs other duties and assignments as delegated by the Senior Vice President Finance ? CFO.
  1. Executive Assistant to the Vice President - CIO

Performance Expectations:

  • Compose and type correspondence such as letters, response to request for information. Proofread and edit all written materials.
  • Responsible for the preparation of requisitions for all Information Services and Communication purchases, coordinates proper signatures and purchase order process. Maintains accurate records
  • Maintain files and records of all Information Services and Communication maintenance contracts.
  • Utilizes knowledge of a variety of hospital policies and procedures, in order to carry out assigned administrative responsibilities.
  • Secretarial support to all Information Services Managers.
  • Responsible for billing and maintaining accurate records of the receivable for the physicians utilizing the MedeLink System.
  • Performs other duties and assignments as delegated by the Vice President ? CIO.
  1. Maintains Administrative Office contacts through telephone calls, meetings and visitors:

Performance Expectations:

  • Schedules appointments and meetings in response to telephone calls and visitors, and maintains an administrative calendar of same.
  • Receives and screens telephone calls and visitors. Distributes accurate messages.
  • Responds to inquiries, resolves issues and demonstrates the ability to deal with various individuals in a professional manner.
  1. Oversees completion of computerized time and attendance program for the departments of Revenue Cycle, CDI, Homecare Billing, Information Services, Telecommunications and Director of Patient Access.

Performance Expectations:

  • Identifies and resolves errors and discrepancies.
  • Assures payroll is completed in a timely manner with complete accuracy.
  • Maintains employee records, PCR?s and benefit accrual.
  1. Performs General Office Duties for the Departments of Financial Administration and Information Services

Performance Expectations:

  • Opens and distributes mail on a daily basis.
  • Operates standard office machines and equipment such as calculators, word processors, printers, and photocopiers.
  • Orders office supplies and equipment using the hospital Material Management System,

Minimum Qualifications:
To qualify you must have a High school diploma or equivalency
Ability to read and write
Minimum of 4 years administrative secretarial experience
Ability to compose, type, and proof materials, establish work priorities and meet deadlines.
Ability to prepare a variety of analytical spreadsheets, reports, presentations, correspondence and the like at acceptable levels of speed and accuracy.
Ability to continually demonstrate poise, tact, and diplomacy.
Professional interpersonal skills
Knowledge of all Microsoft Office applications
