Description
Summary: Provides all general office management functions including but limited to filling, copying, faxing, reception, drafting correspondence as Directed by the Executive Assistant to the CEO/Board of Directors. Responsibilities:
- Provides Administrative/Secretarial support to Administrative staff and Executives as directed by Executive Assistant to the CEO/Board of Director.
- Acts as communication and information liaison for the Administrative Office by answering telephones, inquiries, written correspondence, etc., and by disseminating information.
- Acts as back up as needed for other office staff.
- In the absence of other Administrative staff, prepares, coordinates and schedules, makes appointments, maintains daily calendars, takes minutes for meetings etc.
- Establishes and maintains extensive filing systems.
- Prepares and types written reports, correspondence and technical reports of a highly confidential nature, utilizing personal computer for word processing, spreadsheet, graphic, and other applications as needed. Composes letters and memoranda from dictation, or from knowledge of hospital policy and procedure.
- Responsible for ordering office supplies.
- Assists with special projects at the request of the Executive Assist ant to the CEO/Board of Directors working independently after given initial directions.
- Coordinates work schedule, phone coverage, and lunch break with other Assistants to ensure continuous coverage during specified periods.
Requirements: Education:
- High school diploma or equivalent. At least one year post-high-school secretarial and computer training required.

Skills:
- Proficient in all Microsoft Office Suite applications (E-mail, Scheduler, Excel, PowerPoint and Word) at intermediate to advanced level
- Ability to work independently with minimal instruction
- Highly effective organizational skills, decision making and problem solving
- Effective communication and excellent customer relations skills
- Competence in secretarial, word processing, phone etiquette, spelling and grammar
- Ability to read and write in English required. Bilingual in Spanish preferred. .
Experience:
- Five years administrative/office experience required. (With two years' experience substituted for post-high-school training, four years administrative/office experience required.) Combination of education plus experience must equal at least six years. Previous experience in a hospital/health care setting preferred.
