Position Summary
We are seeking a reliable, detail-oriented, and proactive Customer Service Representative to support our growing operations in the United States. This role is critical in ensuring smooth coordination between our India-based manufacturing team, U.S. warehouses, logistics partners, and customers. The ideal candidate will excel in logistics tracking, documentation, invoicing, and cross-functional communication.
Key Responsibilities
*Process invoicing and maintain accurate archiving of customer invoices.
*Generate Purchase Orders (POs) for shipments from IE India to IE LLC, as well as direct shipments from IE India to U.S. customers; track, update, and archive all related documentation.
*Track logistics for international shipments (from shipment date to warehouse arrival) in coordination with shipping companies.
*Manage domestic logistics by coordinating with U.S. trucking companies from warehouse to final customer delivery.
*Coordinate and process payments to domestic trucking services.
*Follow up on customer payments, keep invoices updated, and provide weekly reports to Finance in India.
*Collaborate with U.S. warehouses to track inventory levels, incoming/outgoing shipments, and schedule trucking.
*Coordinate monthly payments to warehouses based on pallet holding fees and in/out operations.
*Proactively inform customers about upcoming shipments and delivery status on a regular basis.
*Review invoices, Bills of Lading, quantities, pricing, and payment terms to ensure alignment with customer account conditions.
*Keep the Sales team updated on inventory availability, shipment status, and customer payment information to support timely follow-ups.
*Provide regular updates to management and logistics teams in India regarding operational challenges, delays, and customer satisfaction.
*Document all processes and procedures for auditing purposes and continuous improvement.
*Contribute to the overall efficiency and success of Client's U.S. operations.
Qualifications & Requirements
*2+ years of experience in customer service, logistics coordination, or supply chain support (preferably in a manufacturing or import/export environment).
*Strong organizational skills with exceptional attention to detail.
*Excellent written and verbal communication skills.
*Proficiency in Microsoft Office (especially Excel, Outlook, and Word).
*Experience with ERP systems or inventory management software is a plus.
*Ability to manage multiple tasks and priorities in a fast-paced environment.
*Knowledge of international shipping, Incoterms, and U.S. domestic logistics is highly desirable.
*High level of integrity and reliability, with the ability to handle sensitive financial and customer information.
*Microsoft Office Suite (Excel, Outlook, Word) - Advanced Excel preferred
*ERP / Inventory Management Systems (experience with any ERP is a plus)
*Shipping / Logistics portals (e.g., carrier websites, tracking systems)
* Document management / archiving tools
