Job Summary:
* Acara Solutions has an excellent opportunity for an Onboarding Specialist in Buffalo, NY. The Onboarding Specialist will assist the recruitment practice with the onboarding process of recruited candidates and pay-rolled contractors for various clients and locations. The onboarding process includes administrative oversight involving the completion of background checks, drug testing, safety training, I9s, employment and education verifications, and customer-specific documents.

Essential Duties and Responsibilities:
* With great attention to detail, assist candidates and contractors with onboarding including working with specific orientation processes and contractor issues, including direct deposit, tax forms, workers' compensation reports, benefits administration, address changes, and vacations/PTO.
* With a focus on the details, coordinate the completion of new start paperwork, ensuring each document is accurate and completed in a timely manner through our web portal, SmartSearch Onboarding.
* Communicate regularly with individual Recruiters on the status of their candidates' onboarding.
* Administer the background check process, the drug screen test, and safety training through our third-party vendors, ensuring that these processes are completed timely and have followed Acara's protocols for completion.
* Assist with payroll responsibilities by communicating with the contractors on the submittal of time sheets and the review and submittal of expenses and per diems into the VMS (Vendor Management Solutions) web portals.
* Assist in making payroll corrections by processing rate changes, and discounts, setting up direct deposit, and releasing and invoicing timesheets, expenses, and bonuses.
* Communicate regularly with operations corporate personnel regarding payroll changes and other employee administrative issues.
* May process and track customer-required drug testing and security clearance paperwork as required by the customer
* Submit periodic reports to management as requested
* Responsible for various other administrative duties as directed by the Company
Job Requirements
Qualifications and Skills:
Required:
* 1 year of experience working in an office environment
* 1 year of experience using MS Word and Excel
Preferred:
* Prior onboarding experience is highly preferred
* Strong interpersonal skills
* Bilingual (Spanish) is a plus
* Excellent written and verbal communication ability
* Experience with any VMS tools or web portals

* This role operates in a modern, hybrid work environment, utilizing technology such as laptops, video conferencing tools, cloud-based applications, and collaborative platforms. Flexibility for remote work is supported, while in-office settings may still involve the use of standard office equipment like computers, telephones, and printers.
* The physical demands described here are representative of those required for an employee to successfully perform the essential functions of this job. While carrying out job duties, the employee must regularly be able to speak clearly and hear effectively to communicate with others. The role also frequently requires standing, walking, using hands for fine motor tasks, and reaching with arms.
