Senior Loan Operations Administrator

What you'll do:

We are seeking a highly experienced Senior Loan Operations Administrator to support complex lending products, including commercial finance, equipment finance and leasing, and syndicated/participation loans. This role is critical to ensuring accurate loan servicing, regulatory compliance, and operational efficiency across a diverse portfolio.

Key Responsibilities

  • Administer and service complex commercial loans, equipment finance agreements, leases, and syndicated/participation loans
  • Ensure accurate booking, funding, maintenance, and payoff transactions within core systems
  • Monitor loan covenants, ticklers, and compliance requirements

Equipment Finance & Leasing

  • Manage lease structures, documentation, and asset-level details (FMV, capital, TRAC leases)
  • Track collateral, residuals, and payment structures
  • Coordinate with customers and internal teams on funding, including due diligence and servicing in accordance with established procedures

Syndications & Participations

  • Reconcile participant payments, notices, and reporting requirements
  • Review and interpret credit agreements and coordinate with agent banks, participants, and internal stakeholders; may include interest distribution and payment processing.

Financial Controls & Compliance

  • Ensure accurate interest accruals, fee amortization, and financial reporting.
  • Support month-end quarter-end, and year-end closing processes

Documentation & Compliance

  • Review loan documentation for completeness, accuracy, and adherence to credit approvals.
  • Ensure adherence to policies, regulatory requirements, and audit standards.
  • Maintain proper loan files ensuring electronic files are submitted to FCM in accordance with appropriate SLA.

Process & Operational Excellence

  • Identify process inefficiencies and recommend/implement improvements.
  • Support system enhancements and testing efforts
  • Serve as a subject matter expert for lease operations
  • Assist in maintaining current procedures, training materials, and operational guidelines.

Risk & Audit Support

  • Support internal and external audits, regulatory examinations, and compliance reviews.
  • Identify and escalate operational risks and control issues.
  • Contribute to remediation efforts and ongoing control improvements.

What you'll need:

  • 5+ years of loan operations experience (commercial lending and equipment finance preferred)
  • High school diploma required
  • Strong, hands-on experience with commercial lending, equipment finance, syndicated and participation loans
  • Proficiency in loan servicing systems (e.g., Lease Complete, FIS, ACBS, or similar)
  • Strong understanding of loan accounting, amortization, and interest calculations
  • Advanced Excel and analytical capabilities
  • Deep knowledge of equipment finance, leasing structures, and syndicated lending.
  • Familiarity with regulatory requirements and loan documentation standards.
  • Strong attention to detail and accuracy
  • Excellent analytical and problem-solving skills
  • Effective communication and stakeholder collaboration
  • Ability to manage multiple priorities in a fast-paced environment
