DESCRIPTION OF WORK

This position provides high-level administrative support within the Bureau of Forensic Services Administrative Office. The role requires independent judgment, accuracy, and strong organizational skills. The incumbent handles training and travel coordination, timekeeping support, reporting, and general administrative duties while serving as a key point of contact for employees and visitors. Key responsibilities of this position include:
- Managing all Out-Service Training Requests, including course registration, payment processing, and employee guidance.
- Serves as Bureau Travel Arranger by booking hotels, flights, and other travel needs; submit Travel Expense Reimbursement Requests and answer employee travel inquiries.
- Create, update, and maintain spreadsheets for tracking Bureau time information, enlisted personal days, and holidays.
- Complete and submit the annual Holiday Reconciliation Report to Human Resources.
- Act as backup timekeeper and assist with time-related issues.
- Serve as backup for Department Requests to Carry and Subpoenas.
- Greet visitors, answer phone calls, provide information, and direct inquiries to appropriate personnel.

Work Schedule and Additional Information:
- Full-time employment, 37.5 hours per week.
- Work hours are 8:00AM to 4:00PM, Monday thru Friday with a 30-minute lunch.
- Telework: You will not have the option to telework in this position.

Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,108 (before taxes). -

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS Minimum Experience and Training Requirements:
- Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- Graduation from high school; or
- An equivalent combination of experience and training.
Additional Requirements:
- Two (2) years or more of experience proofreading and editing various types of materials to ensure grammatical and mathematical correctness and completeness.
- Two (2) years or more of experience maintaining databases, spreadsheets, and logs.
- Two (2) years or more of experience in a position that required processing invoices and payments.
- One (1) year or more of experience working in a position that required maintaining a filing system.
- You must be able to perform essential job functions.
