Job Title: Receptionist/Office Support

Location: Boulder, CO 80301

Duration: 12 Months (Possibility of extension depending upon business requirements and performance)

Key Responsibilities:

  • Front desk reception, Visitor management, catering management, event planning, Office supplies all other duties assigned.
  • Provide a friendly, professional, and welcoming front desk and reception experience for all visitors and employees.
  • Serve as the primary onsite contact for visitors, including managing check in, access co-ordination, and parking validation.
  • Manage daily catering and lunch services, including ordering, setup, vendor coordination, and follow up.
  • Distribute and manage site lunch surveys to gather feedback and improve services.
  • Coordinate and support site events in partnership with the Site Leadership Team (Site LT).
  • Maintain and service the office pantry, including organizing inventory, replenishing supplies, loading and unloading the dishwasher, and maintaining the coffee machine.
  • Oversee the organization, inventory, and regular replenishment of office supplies.
  • Manage conference rooms by ensuring spaces are clean, organized, and ready before and after meetings.
  • Schedule and coordinate routine and ad hoc maintenance for office equipment through third party vendors.
  • Ensure the office remains clean and well maintained by coordinating with third party cleaning services.
  • Manage office related expenses in coordination with the supervisor.
  • Maintain a productive and positive work environment by proactively identifying and re-solving facility related issues.
  • Proactively identify and implement opportunities to improve site processes and drive cost efficiencies.
  • Coordinate visitor and employee access with the remote security team.
  • Provide general administrative and operational support to employees and visitors as needed.
  • Develop, document, and help implement office policies and procedures.
  • Utilize Microsoft Office tools-including Outlook, Teams, OneNote, Excel, Word, Power-Point, and Edge-to support daily operations and communication.



Requirements:

  • HS diploma +
  • 3-5 years relevant experience.
  • Experience with organizational event planning, to include catering and vendor management.
