We are seeking an Executive Assistant to join our Trusts & Estate Group. This is an exciting opportunity for someone with strong administrative skills, an analytical mindset, and an interest in philanthropy to support a client foundation dedicated to strengthening communities. The foundation focuses on expanding access to opportunity, promoting well-being, and supporting initiatives that drive long-term, sustainable impact, including efforts that support women and girls. The Executive Assistant will play a key role in advancing this mission through highly organized, detail-oriented support of grantmaking and board operations. Key Responsibilities Include: Under direction of the Board and internal stakeholders, this candidate will perform the following: Grants administration: Maintain the grants management system, process incoming proposals and prepare for board review, draft grant award letters, initiate payment protocols and ensure timely delivery, ensure reporting deadlines are met by grantees and consultants, and issue request for proposals (RFP) for two grantmaking rounds. Provide administrative support to board as requested. Communication: Ensure grantee emails are responded to quickly and professionally and direct them to the appropriate person, cc board liaison on all grantee emails. Provide timely communication with board for upcoming meetings. Board Support: Prepare, format, and distribute grant dockets and board meeting materials; take and archive meeting minutes, help manage calendars for board members by scheduling program or site visits, and coordinate logistics for consultant or vendor meetings. Reporting: Generate data reports on grant portfolios for the board, maintain accurate records, and sustain contact reports and the online dashboard. Financial: Work with board liaison in finances to ensure funds transferred for grantee payment and initiate grant payment processing according to protocols. Ensure funds are received by grantees within a timely period. Our Ideal Candidate Will Have: Communication Skills: Strong written and verbal skills for drafting reports, emails, and board materials. Administration and Organizational Skills: High attention to detail with the ability to manage multiple, grant cycles and deadlines. Financial Acumen: Understanding of and comfort with financial statements, budgets, and payment processing. Professionalism: Ability to handle confidential information regarding foundation financials and sensitive donor/grantee details. Technical Proficiency: Experience with database management (CRM), and MS Office Suite (especially Excel and PowerPoint). Benefits are subject to eligibility requirements and other terms and conditions. The salary range for this position varies by geographical market. In Minneapolis, the estimated starting annual pay range is $65,000 - $90,000/year. The compensation offered will be dependent on the candidate's experience, skills, education, professional background, overall qualifications, and geographic market location.
