Job Overview
The Executive Assistant to the Chief Executive Officer, Chief Financial Officer, and Chief Legal Officer of Children's Hospital Colorado serves as a trusted strategic partner and operational anchor, enabling them to lead effectively in a highly complex, regulated environment. This role provides high-level administrative, governance, and coordination support, managing executive priorities, complex calendars, board and senior leadership interactions, and sensitive communications with discretion and professionalism. The Executive Assistant anticipates needs, facilitates seamless information flow across the organization, and ensures preparedness for key meetings, decisions, and external engagements. This individual is expected to be a leader withing the Executive Assistant team, providing support and guidance where appropriate. With a deep understanding of healthcare operations and confidentiality requirements, the Executive Assistant represents the office with credibility, judgment, and precision, contributing directly to organizational effectiveness and leadership impact. Key Responsibilities
Plans and coordinates CEO, CFO and CLO activities, meetings, and events to include making travel arrangements, leading event planning, developing agendas and meeting materials, and preparing meeting minutes. Manages the flow of information to and from the CEO, CFO and CLO by making decisions on priority of messages and meeting requests; briefing the CEO, CFO and CLO of upcoming commitments and responsibilities; and communicating directly, and on behalf of the CEO, CFO and CLO, with Board members, donors, patients/families and team members. Provides administrative support, including preparations for highly confidential information and materials, to include answering and directing phone calls, preparing agendas and meeting minutes, composing and editing written correspondence and documents, compiling information and preparing reports, and maintaining filing systems. Develops and maintains effective working relationships with internal/external stakeholders, to include senior leadership, team members, Foundation leaders, Board of Directors, and community members. Provides support for organization and department financial processes and transactions including ordering, tracking and maintaining supplies and other inventory; and tracking and reporting expenses. Completes payroll processing, invoice processing, check requests for non-employee stakeholders, P-card approvals, and catering requests on behalf of executives. Coordinates event details with internal stakeholders, external guests, the Corporate and Community Relations Department including negotiating contracts for meeting and convention sites and details associated with the events. Provides leadership and support to executive assistants with the C-Suite; identifies training and process opportunities. Provides support to the Board of Directors as needed.
Minimum Qualifications
EDUCATION - High School Diploma or equivalent. EXPERIENCE - Five years of experience providing support to organizational senior leadership. EQUIVALENCY - A relevant Associate or higher degree may substitute for the required experience on a year-for-year basis.
Preferences:
Demonstrated fluency in Microsoft Word, PowerPoint, and Excel Familiarity with collaboration platforms such as Zoom, Teams, SharePoint, and OneDrive.
Salary Information Annual Salary Range (Based on 40 hours worked per week): $71,040.18 to $106,560.27 Pay is dependent on applicant's relevant experience. Benefits Information Here, you matter.
