Scope of Role

The Warehouse Coordinator is responsible for managing the administrative tasks within the warehouse office, including inventory tracking, order processing, shipping and receiving documentation, data entry, and communication with internal and external customer service. This role ensures smooth warehouse operations by coordinating administrative functions and maintaining accurate records.

Essential Duties and Responsibilities

  • Update all shipping transactions for billing and monitor billing totals.
  • Work closely with the Customer Service Department to ensure correct shipment of products, including tracking orders and correcting shipments as needed.
  • Run daily reports for open deliveries to ensure on-time delivery.
  • Investigate and resolve customer complaints.
  • Coordinate with the sales force to ensure same-day shipment of backorders.
  • Communicate with the Credit Department to resolve billing questions and RMAs.
  • Analyze transportation and distribution methods to develop cost-effective, reliable, and efficient delivery solutions.
  • Cross-train with production office associates.
  • Apply the 80/20 rule as required by Regal Rexnord.
  • Ensure timely international deliveries with appropriate paperwork.
  • Create certifications for international trade documents, such as Certificates of Origin.
  • Ensure documentation complies with customs procedures.
  • Audit charges, shipping methods, and locate bills to ensure payment to carriers.
  • Ensure all outbound shipments, documentation, and transactions are processed on time.
  • Schedule and organize customer pick-up shipments.
  • Develop a thorough understanding of the trucking industry, shipping requirements of customers, and freight carriers.

Education and Experience Requirements

  • High School Diploma or GED from an accredited institution is required.
  • First-hand shipping experience (order management, reviewing shipping data, etc.) is required.
  • Basic proficiency with computers and Microsoft Office applications, including typing, email, and Excel, with strong data entry and search capabilities. Familiarity with ERP and SAP systems is preferred.
  • Exposure to lean manufacturing principles is a plus.
  • Additional education or training related to Business, Supply Chain Management, Materials Management, Production Control, or similar is desired.
  • Previous experience in a manufacturing environment producing finished goods is desired.
  • Previous experience in an expediting, planning, scheduling, materials management, or a similar role is desired.

Physical Demand and Work Environment:

Physical Demands: Must be able to work in a typical manufacturing facility, which may involve frequent walking and moving around working equipment. Potential physical demands include frequent sitting and walking, occasional bending, stooping, and lifting up to 20 lbs. Potential sensory demands include hearing and seeing. Work Environment: Majority of time is spent in an office environment on the manufacturing floor, with frequent time spent in a production environment where personal protective safety equipment must be worn, and proper safety precautions must be observed.
