Title: MiTEC Program Assistant - Weatherization Assistance Program

Location: Hybrid - Must work and live in the state of Michigan



Purpose: This position is part of a dynamic weatherization training center team that provides superior learning opportunities to professionals in the home performance, residential, and construction energy efficiency industries. MiTEC provides students with in-person classroom training, field training, and online training opportunities. The Michigan Training and Education Center (MiTEC) will provide technical expert instruction and assistance to Weatherization professionals, home professionals, builders, contractors, developers, architects, and others. The MiTEC will focus on building science coursework to support the Weatherization Assistance Program's (WAP) comprehensive technical trainings and certifications outlined in the Quality Work Plan that establishes a benchmark for quality home energy upgrades, released by U.S. Department of Energy (DOE). Both comprehensive and specific training will be conducted. Comprehensive training is occupation-specific training aligned to the Job Task Analysis for each occupation in the weatherization field. Specific training addresses acute deficiencies in the field such as dense packing, crawlspace, ASHRAE, and other topics as needed. Training will foster engagement, innovation, quality work practices, enhance performance, teach energy efficiency conservation measures, health and safety techniques, and ensure student success through hands-on training opportunities by high quality certified instructors and classroom innovations. The MiTEC Program Assistant coordinates with the Michigan Department of Health and Human Services, Bureau of Community Action and Economic Opportunity's (BCAEO) weatherization team to stay up-to-date regarding relevant changes to curriculum and coursework as updated to reflect federal and state program requirements, risk assessments, and monitoring results.



Duties and Responsibilities:

  • Coordinate with the MiTEC Training Director and Deputy Director to develop and maintain the master training schedule. Ensure that courses and training events are properly planned and executed at partner sites, in the field, and online. Maintain a course catalog, send student reminders via phone calls and text messages as well as email, update the online Learning Management System (LMS), and SharePoint.
  • Maintain documents including course listings, instructor feedback and organize student files.
  • Track student enrollment, cancelations, attendance, evaluations, instructor feedback, test scores and certification progression.
  • Ensure all training records for courses, instructors, and students are complete and accurate using online learning management system, SharePoint, and other internal databases for record keeping and reporting.
  • Assist with the preparation and scheduling of students for training as well as for their career path.
  • Assist the MiTEC Director with maintaining information for annual IREC reporting. This assistance will include tracking timelines, gathering needed information, preparing, and submitting documents and ensuring all reporting timelines are met.
  • Event planning for all MiTEC activities such as conferences, field training activities, etc.
  • Assist in maintaining and updating the MiTEC website.
  • Maintain and coordinate responses to the MiTEC email inbox daily.
  • Provide general program assistant support such as scheduling meetings, ordering supplies, sending reminders, copying training materials, preparing sign-in sheets, assisting with payroll, and responding to calls.
  • Provide administrative support to the MiTEC team, MiTEC Director and BCAEO Executive Director.
  • Perform database entry and maintenance of information as needed.
  • Always represent the best interests of MPHI and MDHHS.
  • All other duties as assigned.



Qualifications/Requirements:

Education: Bachelor's degree or higher preferred. In lieu of degreed program, we will accept equivalent in education and/or experience.



Experience: A minimum of three years of program assistant related experience.

Work Environment and Physical Requirements: This position may involve moderate physical activity, including lifting materials and equipment. It also requires frequent computer use, with 25% to 75% of time spent viewing a CRT or VDT screen, along with other standard office tasks. Proficiency in Microsoft Office Suite, smartphones, tablets, and web-based technology is essential. The MiTEC Program Assistant will provide support to mobile staff working from home offices, satellite locations, and other designated spaces as needed. This role requires onsite presence at training centers during scheduled trainings and key activities. While some remote work is available, the majority of work hours will be spent at a training center. The Lansing, Michigan headquarters serves as the base location for travel policy compliance.

Travel: Travel throughout the state to the training center satellite locations and partner facilities will be required. In addition, travel to conferences and other state and out-of-state events may be required.
