About the Position The Office Coordinator, with a focus on facilities management, is essential in supporting the operations of the Human Services Department through the provision of administrative assistance. Responsibilities include the administration of vehicles and equipment including repair and preventative maintenance tracking, maintaining up-to-date operational policies and procedures and coordinating with vendors for the timely scheduling of deliveries and resolution of any facility-related concerns. The Office Coordinator will interact with internal staff and other County Department staff as well as external staff. This role demands a proactive approach to support the department's objective of providing exceptional service and maintenance support. We Require
- Three years of progressive clerical/administrative experience
- High School Diploma/GED
- Post-secondary education may substitute for the experience requirement on a year-for-year basis

Job Contributions
- Develop purchase orders and acquisition requests for goods and services necessary for the Human Services Department, ensuring timely and cost-effective procurement
- Oversee the distribution and allocation of office supplies and equipment essential for the operation and upkeep of the organization's facilities group
- Maintain detailed records and logs of daily operations, including incident reports, accident summaries, maintenance requests and statuses, and other notable events related to facility management
- Develop, create, and maintain documents and information on shared computer drives, including organizing, updating, and keeping all logs current for compliance
- Manage and prioritize facility service requests under the oversight of Facilities Supervisor, directing necessary repairs or remediation to the appropriate lessor or the County's Facility Management Department as required. Ensure coordination and compliance with supervisory guidance to uphold organizational standards and objectives
- Assist in developing, updating, and maintaining critical operational documents such as Emergency Procedures, Continuity of Operation Plans (COOP), Scope of Work and Fire Drill/Evacuation Protocols and maps to ensure employee safety and regulatory compliance
- Coordinate the management of the organization's vehicle fleet, including scheduling regular maintenance, monitoring usage, ferrying vehicles to and from Equipment Services, and serving as the primary point of contact with Equipment Services
- Manage parking logistics, including the allocation and monitoring of parking passes, authorizing parking validations, coordinate with parking vendor and maintain a current record of parking usage
- Liaise with external vendors or internal Facilities staff to schedule and oversee routine maintenance and repair work, ensuring facilities are well-maintained and operational
- Handle all aspects of document management, including the coordination of document storage, shredding services, and the retrieval of archived documents, ensuring compliance with data protection regulations
Working Conditions
- Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire
- Must complete background check and fingerprint identification upon hire to secure and maintain DPS Fingerprint Clearance Card
- Position is primarily based in an office environment. However, this position will be required to travel to and from various county offices and locations using own vehicle, county vehicle
- This position's work location is split between 234 N. Central Ave, Phoenix, 85210 AND 1001 West Southern Ave, Mesa, 85210
- May telework up to once per week after a period of time
- This position is grant-funded and will be funded through June 30, 2026
