HR Office Assistant

Responsibilities



  • Warmly and professionally welcome visitors, while assisting them with onsite needs. Manage the front desk, including security access, checking in guests, and supporting executive and customer meetings.
  • Operate the main phone system, while screening calls, updating the general mailbox message, and relaying messages.
  • Open and distribute office mail as needed. Do you like to decorate? Throughout the year, you will have a chance to create a seasonal atmosphere!
  • Assist with HR onboarding and offboarding with tasks such as preparing new hire desks, anniversary gifts, collecting offboarding items (laptops, badges, etc.) as needed.
  • Update and maintain employee information within our HR system, BambooHR.
  • Proactively maintain necessary work resources such as office supplies, kitchen supplies, employee food, beverages, etc.
  • Maintain the cleanliness of common areas, conference rooms, and kitchen. Load and unload dishwasher, clean out the refrigerator, spot clean on occasion.
  • Partner with building management and vendors regarding maintenance, parking, janitorial services, etc.
  • Support, plan and assist with local employee events such as all-hands meetings, onsite competitions, and employee activities.
  • Prepare shipping such as UPS and FEDEX and arranging courier service.
  • Function as the building safety champion. Ensure that the workplace supports the health and safety of all employees and visitors. Assist with monthly safety walk through.
  • Other duties as assigned.


Requirements



  • 1-2 years of HR and office administrative experience.
  • Exceptional verbal and written communication skills needed with a high level of discretion and professionalism.
  • Keen judgment and the ability to be discreet on sensitive matters.
  • Detail oriented with strong follow-up and follow-through skills.
  • Experience using Microsoft Office.
  • Excellent decision-making skills with the ability to prioritize and multitask.
  • Strong teamwork and relationship building skills are a must.
  • Collaborative, strong team and interpersonal skills.
