Office Assistant

SCS Engineers (SCS) is seeking an independent, forward-thinking professional to provide administrative and clerical support to a growing office of environmental and civil engineers and scientists. This is an in-person position based out of the Richmond, VA metro area.

Accept deliveries and collect mail for distribution to office staff.
• Run monthly reports for environmental compliance group
• Managing and coordinating the maintenance of fleet vehicles for offices in southern Virginia
• Filing and archiving of historical documents
• Assisting with new employee onboarding
• Coordinate with project teams to transmit invoices to clients on a monthly basis
• Assist with the preparation of purchase orders for office and project purchasing
• Transcribes, types, proofreads and edits correspondence, memos, tables, exhibits, monitoring data and reports
• Performs tasks requiring a knowledge of Microsoft Word, Excel, Outlook and familiarity with the company Style Guide. Including development and maintenance of template documents and preparation, copying, binding, and mailing client reports, drawings and proposals.
• Prepares materials needed for conferences, presentations, correspondence, appointments, meetings, and telephone calls/video conferences
• Set-up of new electronic and paper project files, routine filing, and file maintenance
• May assist in the preparation of special or one-time reports, summaries or replies to inquiries, selecting relevant information from a variety of sources such as existing reports, documents, correspondence, other offices' files, and other documentation.
• Preparation and coordination of FedEx package labels as required
• Assistance with office receiving, mailing, deliveries, coordination, and communication duties
• Inventory management, ordering of office supplies, and equipment as requested
• General management and organization of office common areas
• Running occasional errands
• Coordinating travel arrangements and vehicle rental
• Assist IT staff with troubleshooting and maintenance of local IT equipment

• Minimum of 3 years of relevant office experience required
• Associate's Degree preferred
• Excellent Word, Excel, Outlook, and general computer skills required. Microsoft Teams experience preferred
• Valid Driver's License with a driving record in good standing required
• Must be organized and have ability to multi-task
• Excellent communication skills and the ability to interact well with employees, vendors, and clients
