Office Manager - JLL

What this job involves:

We are seeking a highly organized and efficient Office Manager to oversee internal operations for our team supporting the BPA account. This role focuses on managing administrative and operational functions within JLL, ensuring smooth day-to-day operations and effective support for our staff. You will serve as a critical liaison between JLL operations and our client, directly contributing to JLL's success in delivering exceptional facility management services. This is an opportunity to make a significant impact on our growing business while developing expertise in government contracting and complex facility operations.

What your day-to-day will look like:

  • Oversee invoicing processes for the JLL team at BPA, ensuring accuracy and timeliness while managing budget allocation and tracking

  • Manage badging, onsite access procedures, and coordinate onboarding/offboarding of JLL employees assigned to the BPA account

  • Supervise coordinators in their daily office management duties and ensure proper maintenance of office supplies and common areas

  • Prepare and deliver regular reports to JLL management on account performance and operations metrics

  • Manage comprehensive vendor interactions including coordinating onsite access, overseeing invoicing processes, and managing work order systems

  • Maintain document control and organization across the account, ensuring proper filing, storage, and retrieval of important records

  • Update policies periodically to ensure alignment with JLL standards, BPA requirements, and industry best practices

Required Qualifications:

  • Minimum 5 years of experience in office management or administrative leadership roles with proven team supervision capabilities

  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint for reporting and data management

  • Proficiency in Computerized Maintenance Management Systems (CMMS) and project management software such as Maximo or eMaint

  • Strong financial acumen for budget management and invoice processing with demonstrated accuracy * Experience working with or at government sites is highly desirable

  • Thorough understanding of reporting standards, quality metrics, and safety protocols

Preferred Qualifications:

  • Bachelor's degree in Business Administration, Facility Management, or related field

  • Familiarity with contract management and client relationship principles in professional services environments

  • Knowledge of best practices in office administration and team coordination within corporate settings

  • Experience with government contracting processes and compliance requirements

  • Previous experience in facility management or real estate services industry

Location:

Onsite: Between 2 sites in Vancouver, WA & Portland, OR

Work Shift:

M-F Day Shift

Salary/ Comp:

$75,000-$87,505

Estimated compensation for this position:

75,000.00 - 87,505.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
