As we prepare for our Centennial Campaign, there has never been a more exciting time to make your mark on our University's history. We seek an experienced Gift Processing and Constituent Data Analyst to join the Office of Philanthropy &Alumni Engagement.

Reporting to the Executive Director of Advancement Services, The Gift Processing Analyst plays a critical role in ensuring the accurate and compliant recording of charitable contributions in accordance with CASE guidelines and IRS regulations. This exempt-level position requires a high degree of independent judgment, research, and complex decision-making. The analyst serves as a subject matter expert and trusted partner to key stakeholders across the institution, including Donor Relations, Stewardship, Gift Officers, and the Controller's Office. The analyst is also expected to actively contribute to a team culture of excellence, accountability, and continuous improvement.

Key Responsibilities:

Gift Processing:

  • Professionally interact with key stakeholders and maintain discretion and professionalism in all communications and documentation when providing information, clarifying giving records, and/or resolving inquiries regarding gift processing.
  • Conduct independent research and evaluation of diverse gift transactions to determine appropriate processing and application in accordance with institutional policy, CASE standards, and IRS regulations.
  • Requires a high level of accuracy and attention to detail in processing and recording philanthropic gifts.
  • Exercise discretion and critical thinking in complex data entry tasks, including constituent creation, record linking, and credit assignment to donors and gift officers.
  • Process all charitable contributions accurately and in a timely manner, including outright gifts, matching gifts, pledges, payroll deductions and planned gifts.
  • Prepare invoices for pledge payments or donor requests, and support reconciliation processes in coordination with the Controller's Office.
  • Take ownership of daily gift processing workflow; assess and prioritize tasks to meet critical deadlines with minimal supervision.
  • Review gift agreements for appropriate documentation and terms to ensure alignment with institutional policies and donor intent.
  • Generate and analyze donor, fund, or designation-specific reports as needed by leadership and development teams.
  • Develop and document standard operating procedures independently; identify and recommend process improvements to enhance efficiency and accuracy.
  • Lead or participate in testing of database and application updates, following best practices to validate system functionality and data integrity.
  • Provide training and guidance to new staff and student employees on gift processing procedures and system use.
  • Investigate processing issues and partner with management and IT to identify root causes and implement long-term solutions.
  • Collaborate proactively with internal departments such as the Controller's Office, Athletics, and academic colleges across all campuses to ensure consistency and accuracy in gift handling.
  • Serve as a subject matter expert and consultant to internal teams, including Donor Relations and Gift Officers, on donor record maintenance and gift documentation.

Constituent Management:

  • Process interims from the various feeder systems - Campus Solutions, Workday HR and other sources
  • Review various sources to identify, and update donor records following complex processes to ensure accuracy - i.e. deceased, divorced, new employment
  • Review and update donor information to ensure accuracy when processing gifts

Qualifications

Required Education and Qualifications:

  • Bachelor's degree required; accounting, business, or related field preferred.
  • Minimum of 3 years of experience in gift processing, data management, or a related function, preferably in a higher education or nonprofit setting.
  • Deep understanding of IRS charitable contribution rules and CASE reporting standards.
  • Strong analytical, problem-solving, and decision-making skills.
  • Demonstrated ability to manage confidential donor information with discretion and integrity.
  • Proven ability to work effectively within a team, contributing to a culture of collaboration and continuous improvement.
  • Excellent written and verbal communication skills, with a professional and customer-focused demeanor.
  • Experience with advancement databases (e.g., Ascend, Ellucian, Blackbaud) strongly preferred.
