Rutgers, The State University of New Jersey is seeking an Administrative Assistant for Rutgers Residence Life.
Among the key duties of the position are the following:
- Provides high-level administrative and logistical support to the Residence Education Team and reports primarily to the Director for Residence Education and Staff Development.
- Supports the overall effectiveness of the unit by assisting with the coordination and administration of programs, projects, and operational processes.
- Supports the unit by managing calendars, scheduling appointments, triaging phone and in-person inquiries, and providing exceptional customer service to students, staff, parents, and campus partners.
- Assists with key operational processes including student and professional staff recruitment, employment verification, reference checks, and inventory management for staff apparel and supplies.
- Plays an essential part in coordinating logistics for major departmental initiatives such as student training, professional development, and academic initiatives.
- Handles room reservations, materials preparation, tracking participation, and maintaining records for various educational and engagement efforts.
- Assists with ordering and reconciling purchases, setting up department meetings, and supporting travel arrangements and event planning for student leadership organizations and living-learning communities.
- Works under general supervision, requiring flexibility, attention to detail, and a high degree of confidentiality and discretion in managing sensitive matters.

Qualifications
Minimum Education and Experience |
- Bachelor's degree, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping and/or reporting writing principles and practices.
