Purpose

The School of Civic Leadership is seeking a motivated, proactive, and diligent Senior Administrative Associate who thrives in a fast-paced environment, takes initiative, and approaches challenges with a positive, can-do attitude. The ideal candidate is highly organized, detail-oriented, and highly knowledgeable about UT policies and procedures. They enjoy helping others navigate processes, ensuring smooth operations, and making complex systems work efficiently for the whole team. Above all, they take pride in doing their work well and supporting a collaborative, solutions-oriented environment.

Responsibilities
  • Coordinate and process purchasing for the school, including but not limited to UT Market, PointPlus, Amazon, and Procurement Card transactions. Process PIFs and GGV documents as needed.Serve as the primary point of contact and resource on University purchasing policies and procedures, ensuring compliance and advising faculty and staff as needed. Act as liaison with the Office of Accounting, Purchasing, Accounts Payable, and external vendors. May process a high volume of transactions under tight deadlines.
  • Assist with processing travel authorizations, reimbursements, entertainment expenses, deposits, and payment documents. Handle departmental voucher processing (including but not limited to VP1, VP2, VPE, VP5, VP7, VC1, correction vouchers, wire transfers) and other accounting documents as needed. Work with vendors to resolve invoicing errors/issues.Ensure compliance with University policies and procedures and monitor documents through final approval. May process a high volume of documents under tight deadlines.
  • Serve as a ProCard holder and process and reconcile ProCard and Conference Travel Card payments for other SCL departments. Ensure payments are accurate and processed efficiently to meet University payment deadlines.
  • Provide guidance and support on UT accounting procedures, purchasing guidelines, and School of Civic Leadership accounting processes.Bring issues to the attention of the Assistant Director of Finance and Administration
  • Serve as backup for processing business contract submissions, approving documents, transferring funds, covering front desk/reception duties, and supporting other team members as needed.
  • Other related responsibilities and functions as assigned.
Required Qualifications
  • Bachelor's degree in a related field.

  • Three years of experience with University of Texas accounting and procurement processes.

  • Demonstrated proficiency with the UT mainframe systems and related financial applications.

  • In-depth knowledge of UT policies and procedures related to travel, purchasing, and payment processing.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Prior experience as a ProCard holder, including transaction reconciliation and compliance with institutional policies.

  • Experience using UT's Contracts Plus system.

Salary Range

$62,000+ depending on qualifications

Employment Eligibility:
