Job Summary
The First Impressions Coordinator is responsible for greeting guests and visitors to WebTPA and offering support to the Culture Ambassador and Employees.

Essential Functions



  • The essential functions listed represent the major duties of this role, additional duties may be assigned. (5%)
  • WebTPA IRVING OFFICE/FACILITIES

    Enters all visitor information into Aware Manager and notifies security

    Greets visitors at security check in and welcomes in front lobby

    Manages lobby area

    Cleans and maintains common areas, conference rooms, break rooms and kitchen areas.

    Ensures breakrooms are fully stocked with water, tea, coffee, soda, and snacks

    Coordinates routine maintenance cleaning and repairs (35%)
  • WebTPA CULTURE

    Primary contact for company “Weekly Family Updates” streamed via email and tv monitors within WebTPA office locations

    Monitors and maintains company birthday and anniversary roster

    Displays company rewards and recognition in weekly slideshow including Webby Awards and Customer Service Kudos Spotlight

    Assists Culture Ambassador with cultural activities, quizzes, events and prizes and mailings

    Sends flowers to employees during bereavement and special occasions within established guidelines

  • WebTPA Office and Administrative Assistance

    Assist the Talent Development team by creating New Hire Binders

    Assists the Sales team with RFP Binders

    Assists the Account Management team assembling and shipping Open Enrollment materials

    Signs for all packages and delivers.

    Back up to the mailroom

    Purchase orders for basic office supplies (20%)


Qualifications

Required Work Experience
6+ months related work experience. Experience Details: receptionist

Required Management Experience
No supervisory/management experience required

Required Education
High school diploma or GED

Additional Required Qualifications

As a member of the HR team, ability to keep information confidential is a must. Also, the ability to assess information shared, time management and ability to know who to go to in critical or sensitive situations must be exercised on a daily basis.
Ability to function in Windows, to use Outlook for e-mail and to navigate on the Internet.
Ability to perform advanced-level word processing tasks and advanced-level Excel tasks.
Ability to use Power Point for slideshows

General Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally to move objects. Jobs are sedentary if traversing activities are required only occasionally.
