Job Duties |
The
Assistant Director of the Central Reservations Office plays a key role in supporting event management, facility coordination, and general oversight for the Central Reservations Office on the Health Sciences Campus. This position assists with event planning and execution, supports scheduling operations, and contributes to effective facility use through resource coordination. The Assistant Director develops and implements strategies to optimize the use of resources and ensures compliance with regulations. Building strong relationships with internal departments, including the Brody School of Medicine, and external stakeholders is essential for enhancing service delivery and maintaining a positive environment across the Health Sciences Campus. The role also includes leading administrative tasks and event planning and setup, ensuring that all operations align with university standards and objectives.
Event Planning & Execution:
- Assist in the planning and coordination of events on the Health Sciences Campus, including but not limited to the Brody School of Medicine, East Carolina Health Institute, Laupus Lake, Warren Life Sciences Building, and Health Sciences Student Center.
- Use event management software, such as 25Live, 7 Point Ops, and Prismm to manage event requests, space scheduling, and logistical planning.
- Ensure events are accurately scheduled and resource needs (e.g., security, catering, technology) are coordinated.
- Oversee event setup and breakdown, verifying alignment with client requirements and university standards.
- Attend events as needed to provide on-site support and ensure policy compliance
- Work directly with clients, vendors, and internal stakeholders to finalize event plans and conduct pre-event walkthroughs or logistics meetings.
- Maintain strong communications with service partners including housekeeping, grounds, and catering to ensure seamless execution.
Facility & Resource Coordination:
- Serve as the point of contact for sub-schedulers across Health Sciences Campus spaces, ensuring consistency in scheduling practices and procedures.
- Report and track maintenance and repair needs related to event spaces, ensuring timely follow-up.
- Assist with inventory control for event setup equipment and supplies; ensure all resources are maintained and deployed correctly.
- Maintain open communication with clients, campus partners, and external vendors to ensure clarity in event planning and executions.
- Monitor and help enforce room use policies, furniture configurations, and safety standards in assigned spaces.
Administration and Supervision:
- Recruit, train, schedule, and supervise professional and student employees responsible for event support and facility setups.
- Develop and deliver on-boarding and skills training for both professional and student staff, including equipment handling and customer service expectations.
- Monitor staff performance and provide coaching, feedback, and accountability measures to ensure high-quality service, reliability, and adherence to standards.
- Assist in implementing departmental initiatives, improving operational procedures, and supporting policy compliance.
- Represent the Central Reservations Office on committees, at trainings, or in workshops as assigned.
- Help prepare documentation, reports, and communications related to event scheduling, staffing, and facility use.

Minimum Education/Experience |
Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
