Description

The employee in this position will assist in the coordination of the Office of Education and Curriculum, particularly the collection and reporting of meeting minutes for each of the six curriculum committees. Additionally, the position will assist in the collection and reporting of information needed to satisfy LCME and other external governing bodies, and provide support to the Director of Academic Affairs & Accreditation. The position requires extensive knowledge in Microsoft Office for preparing spreadsheets, memos, letters, minutes, internal and external reports and proposals. Material will be from computer or written rough drafts and oral directives.


Examples of Duties

60% Administrative Support of SIU SOM Curriculum Committees
Under general supervision of the Director of Academic Affairs & Accreditation:
Attends and records minutes of each of the six curriculum committees to include Y1, Y2, Y3, Y4
Curriculum Advisory Committee, the Lincoln Scholars Program Advisory Committee, and the
Education Policy Council. This includes but is not limited to:
* Attends each scheduled meeting or retreat of each of the six committees, either in person or via web conference as business needs dictate.
* Records minutes via an electronic device and prepares a written report of the minutes in a format agreed upon by the Director of Academic Affairs & Accreditation and each relevant curriculum committee chair.
* Maintains both the meeting recordings and the published minutes of each committee meeting in an organized and searchable manner via the use of spreadsheets or databases.
* Publishes the minutes from each meeting on the Hive (SIUSOM intranet) after they have been approved by the relevant committee.
* Provides general administrative support for each curriculum committee as needed such as document preparation, distribution, and communication.

20% Staff Support to Director of Academic Affairs & Accreditation
* Provides support in the collection of relevant data to meet the needs of LCME and other external governing bodies.
* Assists in the preparation of reports.
* Provides general administrative support.

20% General Duties
* Provides support for events hosted by the Office of Education and Curriculum such as preparation, staffing, communication, and evaluation.
* Provides backup support as needed to other members of the Office of the Associate Dean for Education & Curriculum.
* Provides other duties as assigned


Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling eighteen (18) months from the categories below:
    1. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    2. Work experience performing office/clerical activities, including the use of computer systems.
