Departmental Overview Student Academic Advising and Support Services at Berkeley Law provides a wide range of support to the law school community, which includes over 1,200 students in four degree programs: JD, Phd, LLM, and JSD. This individualized support includes academic advising, personal support, programming, and accommodations. In addition to counseling individual students, Student Academic Advising and Support Services works with the Student Association of Berkeley Law (SABL) and over 100 student organizations, supporting their activities including conferences, workshops, and community-building events. The office is also responsive to faculty referrals and inquiries about students, usually when the student is struggling. Student Academic Advising and Support Services presents myriad programs throughout the year, including Orientation, Commencement, Mindfulness, Bar Exam Workshops, Affinity Group Leader meetings, and other academic programming for students. Student Services is also responsible for scheduling and facilitating midterms and exams for around 70 classes each semester. Position Summary The Student Academic Advising and Support Services Administrator reports to the Senior Director of Student Academic Advising and Support Services and works closely with the Dean of Students. The Administrator has responsibility for performing the day-to-day administrative services and operations of the unit. This involves a wide range of responsibilities. The Student Academic Advising and Support Services Administrator is the front-line response person for student and faculty inquiries and program event planning. The position answers and triages numerous inquiries from students, staff, and faculty on a daily basis, identifying crisis situations to be addressed quickly. The position is responsible for processing all of Student Academic Advising and Support Services' financial transactions, including reimbursements to students, supply ordering, vendoring of new suppliers, and payments to vendors. The position ensures that Student Academic Advising and Support Services consistently complies with law school and campus financial policies. The position maintains the Office of the Dean of Students and Student Academic Advising and Support Services websites for the School. The Administrator also creates listservs and school-wide videos for Student Academic Advising and Support Services. This position is on the front lines of student contact, functions with frequent interruption, and must have the ability to remain calm during stressful situations. The Administrator manages the student organization registration process, updates the student organization handbook, and runs the Student Association at Berkeley Law (SABL) election. - Administers defined operational programs and activities for Student Academic Advising and Support Services, which may include some of the following functions: finance and accounting, facilities, space and event planning, student services, communications, informational technology or safety.
- Administers and manages student organization registration, student organization policy and procedure documents, and student organization databases, Student Association at Berkeley Law (SABL) election, and summer pod program.
- Develops, administers, and manages student key-card access, student conference fund, and student event webinar account.
- Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.
- Participates in the development and revision of standard operating procedures and guidelines.
- Develops and drafts specialized and school-wide communications regarding office policies, activities, and programs.
- Functions as a resource to the Student Association at Berkeley Law (SABL), including assessing and recommending changes to maintain compliance with office, law school, and campus policies, as well as federal and state requirements.
- Evaluates current and proposed services for students such as student event webinar platform, conference fund reimbursement, student organization email accounts and key card access in order to identify improvements, ensure operational objectives are being met, and update as needed.
ACCOUNTING & BUDGET ADMINISTRATION
- Functions as a resource on issues such as researching complex financial discrepancies, escalated customer service problems, and vendor concerns.
- Responsible for processing all of Student Academic Advising and Support Services' financial transactions, including reimbursements to students, supply ordering, vendoring of new suppliers, and payments to vendors.
- Manages payments to vendors on behalf of the office, ensuring necessary approvals and compliance with law school and campus financial policies.
- Assists with developing and maintaining department budgets: tracks spending for the Student Academic Advising and Support Services and Registrar's chart strings; provides budget information to the Dean of Students to make informed decisions about spending and budget planning, such as assessing costs related to larger events that may exceed budget.
- Assesses current processes and recommends changes to maintain compliance with law school and campus financial policies.
- Gathers and analyzes financial and other resource data; prepares analyses of operational activities, evaluation of current and proposed services, etc. to evaluate which services should be used, whether they will work for our purposes, and the costs involved.
- Analyzes whether certain services should be provided to students and the resources needed from our office to make it happen.
- Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.
- Conducts trends analyses and helps develop resulting recommendations.
EVENT PLANNING & SUPPORT
- Plans, coordinates, manages logistic for, and executes Student Academic Advising and Support Services, and Law School, events and programs, including but not limited to: student orientations, commencement ceremonies, student activities fair, exam breakfasts, workshops, meetings, advisor drop-in hours.
- Supports and coordinates meeting and event logistics to ensure that room reservations, catering, materials preparation, and outreach to appropriate constituents are executed accordingly.
- Liaises with the Business Services Office, Event Services Unit, and other departments at Berkeley Law, as well as external constituents (if any), when planning and executing events.
- Publicizes events and coordinates communications with stakeholders to ensure successful event outreach.
- Creates and distributes event and program materials.
- Develops and maintains event budgets, tracks expenses, and budget adherence.
- Evaluates event successes against its objectives and key performance indicators (KPIs) and proposes changes or recommendations for future events.
GENERAL ADMINISTRATION FOR STUDENT SERVICES
- Performs general administrative tasks for Student Academic Advising and Support Services. Tasks are moderate in scope and complexity, and exercises judgment within defined guidelines and practices to determine appropriate action. These include maintaining lost and found, maintaining the Dean of Students' calendar, creating and maintaining website, and ordering office supplies.
- Serves as the administrative point of contact for the department and responds to general programmatic and administrative inquiries.
- Triages and determines appropriate action steps or responses to inquiries from students, faculty, staff, and the general public.
- Responds to requests for information and ensures that records and information are current and accurate.
OTHER
- Participates in professional development and training opportunities as needed.
- Performs other duties as assigned.
Required Qualifications
- Ability to think creatively and independently on concepts requiring advanced analytical skills.
- Thorough knowledge of and/or can quickly learn the organization, including its mission, vision, goals, policies, and infrastructure; strong knowledge of current affairs and issues in higher education.
- Computer proficiency in Microsoft Office and common desktop/web applications, including Excel and Word, Google G-suite applications with the ability to learn new systems.
- Thorough knowledge of a variety of administrative operations activities such as risk management planning and website design and maintenance.
- Excellent interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills to communicate effectively with all levels of staff, faculty, alumni, students and external constituencies.
- Strong skills in short term planning, analysis and problem-solving and customer service.
- Strong skills to stay abreast of trends and new directions in technology and the ability to incorporate those advancements appropriately.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The budgeted hourly range that the University reasonably expects to pay for this position is $34.69 (Step 4) - $37.95 (Step 8).
