Job Objective: To provide operational and administrative support to the dispatch and logistics team by leveraging systems such as Samsara, Smart Tank, Relaway, and Microsoft Office. This role ensures accurate coordination of deliveries, effective communication across departments, and proactive monitoring of fleet activity to maintain service efficiency and compliance in a fast-paced environment.
Knowledge, Skills, & Abilities
- Monitoring an email (Microsoft Outlook) inbox
- Proactively assist Dispatchers with scheduling and coordinating deliveries for bulk and packaged products.
- Utilize Samsara for real-time vehicle tracking, reporting, and performance monitoring.
- Use Smart Tank software to check tank levels and plan efficient refills or product deliveries.
- Manage daily routes using routing software, optimizing efficiency and service timeliness.
- Maintain and update records in Microsoft Excel, including delivery logs, route changes, and monitor maintenance.
- Communicate delivery schedules, changes, requests, or issues clearly with sales reps, customer service, dispatch, operations and drivers.
- Support in resolving logistical issues or delays quickly by working collaboratively with internal teams.
- Prepares reports on delivery performance and tank monitors.
- Monitor compliance with safety procedures and company protocols.
- Monitor email and communication outside of physical on-site hours

Qualifications
- High school diploma or equivalent (associate's degree or higher preferred).
- Proficiency with Microsoft Office applications
- Strong verbal and written communication skills
- Ability to multitask, prioritize duties, and work effectively in a team environment.
Preferred Skills:
- Experience working in an environment that involves coordination between multiple departments (sales, customer service, dispatch).
- 1-2 years of experience in dispatch, logistics, or administrative support roles
- Familiarity with logistics or transportation operations
- Problem-solving mindset with attention to detail.
- Comfortable with fast-paced operations and adjusting plans in real-time.
