The Role

We're seeking a proactive and detail-oriented Recruiting Coordinator to support our Talent Acquisition team by driving a seamless and professional experience for candidates and hiring teams. This role plays a critical part in coordinating the full interview lifecycle, managing pre-employment logistics, and contributing to the overall efficiency and success of the recruitment process. The ideal candidate will bring a strong background in executive-level coordination, calendar management, and stakeholder collaboration.

This position will support recruiting activities across all levels - including executive roles - and requires excellent organizational and communication skills, a passion for operational excellence, and a collaborative mindset.

This position will be remote eligible in Raritan, NY with the ability to come onsite as needed by the business.

The Responsibilities
  • Manage complex scheduling of interviews across time zones for all levels, including executive roles, coordinating with candidates, recruiters, hiring managers, and interview teams.

  • Partner closely with recruiters and HR stakeholders to ensure a positive and timely candidate experience throughout the recruitment process.

  • Track and monitor key pre-employment requirements including background checks, I-9 documentation, and onboarding readiness.

  • Draft and process offer letters, relocation and sign-on bonus packages, and other hiring-related documents.

  • Maintain accurate candidate records and hiring workflows within the Applicant Tracking System (ATS), ensuring timely status updates.

  • Support onboarding coordination by collaborating with Talent Acquisition, HR Operations, and EH&S partners to ensure a seamless transition for new hires.

  • Assist with TA operational projects, including process documentation, compliance support, and continuous improvement initiatives.

  • Serve as a central point of contact for candidates, recruiters, and internal partners throughout the interview and hiring lifecycle.

  • Provide administrative and coordination support for TA leadership, including reporting, scheduling, and ad-hoc assignments.

  • Perform other work-related duties as assigned.

The Individual

Required:

  • High School Diploma or equivalent required. Bachelor's degree preferred.

  • 3+ years of experience in Talent Acquisition coordination or HR support, with direct experience supporting executive-level recruiting preferred.

  • Strong experience with complex calendar management and scheduling software (e.g., Outlook, Teams, Zoom).

  • Proficient in Applicant Tracking Systems (e.g., Workday, iCIMS, or similar) and Microsoft Office tools (Excel, Word, PowerPoint).

  • Proven ability to manage multiple competing priorities with a high degree of accuracy and responsiveness.

  • Strong communication skills and a commitment to providing excellent candidate experience.

  • Able to work independently and handle sensitive information with discretion.

Preferred:

  • Experience in a global or multi-site organization, particularly in life sciences or manufacturing.

  • Familiarity with onboarding systems, background check processes, or relocation logistics.

  • Process improvement mindset and ability to contribute to cross-functional HR initiatives.

The Work Environment

No strenuous physical activity, though occasional light lifting of files and related materials is required. 30% of time in meetings, working with team, or talking on the phone, 70% of the time at the desk on computer, doing analytical work. Minimal travel required. Travel includes airplane, automobile travel and overnight hotel.

Salary Transparency

The salary range for this position takes into account a wide range of factors including location of candidate (San Diego, CA, Raritan, NJ or Rochester, NY), education, experience, knowledge, skills, and abilities of the candidate, in addition to internal equity and alignment with market data. At QuidelOrtho, it is not typical for an individual to be hired at or near the top range for their role and compensation decisions are dependent on the facts and circumstances of each case. The salary range for this position is $25/hour to $30/hour and is bonus eligible. QuidelOrtho offers a comprehensive benefits package including medical, dental, vision, life, and disability insurance, along with a 401(k) plan, employee assistance program, Employee Stock Purchase Plan, paid time off (including sick time), and paid holidays.
