Position: Administrative Coordinator

Coverage Area: Baltimore Depot (D-Center) & Annapolis Junction Depot (AJ)

Schedule: Baltimore depot (Mon), AJ depot (Tue to Fri)

Pay Rate: $22.00/hr

Description

We are seeking a reliable and detail-oriented Administrative Coordinator to support daily office operations. This full-time position is responsible for handling administrative tasks, preparing reports, creating Excel spreadsheets, planning and coordinating meetings, managing payroll and payment tracking, and generating weekly and monthly reports. The Administrative Coordinator will also serve as backup support for 2 office clerks during absences."

Responsibilities:


  • Serve as back up to payroll admin
  • Creating monthly and quarterly sales reports
  • Track and communicate status and progress of collection tracking
  • Process Invoices for payment
  • Manage Depot Licenses for and other certification for both depots
  • Create Forms, flyers & SOP's as needed
  • Track & ensure office supplies are stocked
  • Troubleshoot settlement issues
  • Addressing route balance discrepancies
  • Coordination with settlement clerks and IT to get issues resolved promptly
  • Auditing Settlement Weekly Reports for accuracy
  • Identifying discrepancies and training needs
  • Manage the internal PTO program
  • Maintain and organize company intranet folders and files


Requirements:


  • Three (3) years of progressive administrative experience or equivalent transferable experience
  • Proficient in Microsoft Word, PowerPoint, Excel
  • Desire to learn a multitude of computer-based applications and software
  • Able to listen actively and offer solutions
  • Strong verbal and written communication skills
