As the Office and Events Manager, you will play a key role in ensuring the smooth operation of our workplace by organizing and coordinating office administration, procedures, and internal events. You are a dynamic and service-oriented professional with a warm, approachable demeanor and a passion for delivering exceptional customer service. You thrive in a collaborative environment, respond promptly to the needs of others, and hold yourself and your team accountable to high standards. In this multifaceted role, you'll manage a wide range of administrative and executive support tasks with minimal supervision. You are highly organized, adaptable, and enjoy the challenge of supporting a diverse and fast-paced office environment. Due to the nature of event scheduling, you are comfortable maintaining a flexible work schedule, including occasional early mornings, evenings, or extended hours as needed.

WHAT YOU'LL BE DOING(% of Time)

Office Management (50%):

Foster a welcoming and service-focused office environment by modeling a friendly, responsive, and solutions-oriented approach to internal and external stakeholders.

  • Own and continuously improve branch-level business processes to enhance efficiency and service quality.
  • Execute actionable project plans, set clear milestones, and maintain transparent communication with stakeholders, including regular updates.
  • Source, negotiate, and manage third party vendors to sustain a safe, well-maintained, and adequate workplace.
  • Develop and manage an annual operating budget for office supplies, equipment, and services; analyze spending, forecast demand, and implement cost-control measures.
  • Oversee the purchasing of office necessities including but not limited to office equipment, stationery business cards, office supplies, vending services, catering, courier services, etc.
  • Keep main areas, conference rooms, and kitchen stocked and cleaned; upgrade rooms and equipment as needed.
  • Manage and update the office layout floor plan, ensure offices/cubicles and all spaces are cleaned properly upon exit and new incumbents have a proper set up.
  • Manage swag and recognition orders, inventory and distribution of items.
  • Supervise and support front office staff and day porter, ensuring high standards of service and professionalism.

Events (40%):

Ensure all events reflect a high standard of hospitality and customer service, creating inclusive and engaging experiences for all participants:

  • Responsible for the coordination and execution of all internal events: employee engagement events, departmental events, giveback events, teambuilding, life-moment celebrations, including satellite events.
  • Prepare and manage event timelines, calendar and budget; negotiate vendor contracts and track spending and savings.
  • Manage all food and beverage needs, from placing orders to setup and cleanup.
  • Evaluate event success and submit reports on outcomes.
  • Support additional events such as customer and training events.

Additional Projects & Initiatives (10%):

  • Identify and lead special projects and continuous improvement initiatives that support departmental growth, innovation, and operational excellence.

DESIRED SKILLS AND EXPERIENCE

  • High school diploma or equivalent required, along with demonstrated experience in administrative, office coordination, or customer service roles.
  • Bachelor's degree a four-year college or university, preferred.
  • Experience managing or supporting projects-such as coordinating timelines, resources, and deliverables-is highly valued and showcases strong organizational, communication, and problem-solving skills.
  • Proficient in M365
  • Experience with Smartsheets or similar project management tools is a plus

This job is operated in a professional office environment where standard office equipment such as computers, phones, printers/scanners, etc. are frequently used.

TRAVEL REQUIRED

This job requires 5% domestic travel.

This full-time, non-exempt position is located in Riverside, CA

PAY

$70,400 - $91,500 / year
