In support of this mission,
CPS seeks an outstanding and motivated individual to join the
CPS as the
Assistant Director, Academic Program Operations. This dynamic role will be cross-functional, collaborative, and mission-driven to allow the Assistant Director to make a meaningful impact in the College of Professional Studies. Reporting to and collaborating with the Director, Academic Operations, the Assistant Director will support programs and initiatives by providing smooth academic operations, improving workflows, and ensuring exceptional working, learning, and event environments for students, staff, faculty, partners, and guests. The Assistant Director will do this by leading and coordinating college-wide events; managing the Academic Operations Program Coordinators; overseeing administrative support to short-term and academic partner programs; manage vendor and partner contract processes; assist in management of Alexandria, Arlington, and leased classroom and meeting spaces; and navigate GW's internal systems to support the college's initiatives and safety of college operations.
Specific Responsibilities Include:
- Manage Academic Operations Program Coordinators by assigning tasks, setting clear goals, delivering training, assessing performance, and providing regular feedback and guidance.
- Manage CPS partner and vendor contracts, including routing and coordination with various stakeholders, communicating next steps and ensuring seamless workflow processes.
- Ensure a smooth and successful process of all grants and contracts signed by the Dean through the GW approval system.
- Support the Director of Academic Operations in recruiting, onboarding, training, supervising staff, as needed; and with optimizing resource allocation across Centers and learning spaces.
- Set up of virtual and in-person events spearheaded by the Dean's Office, including event and platform management, registration and participant tracking, invitations, and site visits.
- Maintain central list of CPS events for space usage, budgeting, and outreach in collaboration with the Director of Academic Operations.
- Serve as the central point of contact between CPS and GW Events & Venues, a division within the Office of the President. This includes all events or activities that require the President or Provost to attend or that will take place in campus specialty venues.
- Operate as an effective liaison between CPS and GW Central Events, Facilities, and GW PD, serving as a central contact point for the College.
- Manage university-branded promotional material orders, sales, inventory, and approvals, ensuring effective use of event promotions through digital signage, posters, and flyers across buildings.
- Track event expenditures and update budgets, as well as other logistics, such as event surveys and post-event evaluations.
- Manage approval and use of all event promotion via digital signage, posters and flyers throughout the buildings.
- Manage event related vendors, ensuring compliance to budget and follow through with contractual obligations.
- Coordinate moving and storage needs with central GW Facilities.
- Monitor and manage the CPS Operations email inbox, serving as primary contact for vendors making purchasing recommendations.
Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
This is a hybrid position with some days remote and some days in-person. Will require travel between Alexandria, Arlington, and Washington, DC offices and event sites. |
Minimum Qualifications: |
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 6 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 4 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

Preferred Qualifications: |
- 3+ years of program coordination and management experience in an academic setting.
- Capability to work both independently and as part of a team, with a vision toward future needs, and the flexibility to remain adaptable to unexpected events.
- Strong organizational skills to manage complex projects in multiple locations.
- Extensive event logistics and planning experience.
- Supervisory experience and/or strong interest in team development.
- Experience with contracts and vendor agreements.
- Strong interest in continuous education and innovative learning programs.
