Job Summary

This position will primarily support the Endocrinology Division, with additional responsibilities providing cross-coverage for the Nephrology and Transplant Nephrology Divisions, as needed. All sub-specialties are within the Department of Internal Medicine at UC Davis Health and encompass a full range of clinical, research, and teaching activities. The incumbent will also provide cross-coverage to other divisions as needed.

The following teams comprise the three divisions: 32 clinical/research faculty, 9 staff physicians, 12 fellows, 9 research personnel, 25 volunteer clinical faculty/joint appointments, and 13 academic office staff.

The Academic HR Generalist position reports directly to the Division Manager, who oversees the clinical, educational, and research activities of the aforementioned divisions/sections. The incumbent will work closely and collaboratively with divisional/section leadership (Chiefs and the Division Manager) and the Department Academic Personnel Manager, as needed, to provide expertise in recruitment, personnel onboarding, faculty development, visas, and other processes related to personnel administration at various levels.

This role requires broad knowledge of university policies and procedures and involves managing complex academic and HR transactions. The position demands a strong understanding of School of Medicine, UC Davis, and Academic Personnel Manual policies and procedures, as well as HR policies and processes related to staff hiring. #CA-SB

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and / or equivalent experience / training
  • At least one year of experience working with academic and/or HR personnel hiring.
  • Experience providing administrative support to faculty or managers or high-level executives.
  • Experience in handling multiple tasks in a busy office setting.
  • Knowledge of UC Davis and School of Medicine policies and procedures related to academic personnel and staff recruitment, HR policies, hiring, and other personnel actions.
  • Analytical skills to evaluate information such as funding, payroll and other data, with the ability to formulate logical and objective conclusions.
  • Word processing skills to quickly and accurately produce a wide variety of documents and materials, which includes proofreading skills to locate errors and correct them prior to submitting documents.
  • Outstanding customer service skills with knowledge and ability to utilize tact, professionalism, patience and courtesy in dealing with a wide variety of individuals and to interact harmoniously and positively.
  • Ability to interact in confidence and retain confidential information.
  • Ability to take initiative, work independently or work effectively as part of a team.
  • Strong communication skills with the ability to clearly convey information and ideas through a variety of media to diverse audiences.
  • Demonstrated ability to handle the resolution of complex interpersonal issues as needed.
  • Strong organizational skills ensuring documentation is accurate, complete, timely, and maintained and filed in a logical manner.
  • Proficiency with computer programs, especially with Word and Excel.
  • Experienced in time management, skilled at setting priorities for work to effectively manage and follow through on assigned tasks to meet multiple/conflicting deadlines.

Preferred Qualifications

  • Experience interpreting and applying HR policy such as collective bargaining agreements, academic policy, state and federal laws related to personnel in areas of employment, affirmative action, benefits, salary administration, corrective action, conflict management, payroll scales.
  • Experience working with VISA's with knowledge of J1 or HIB visas, including processing of necessary documents for employment of foreign visiting scientists and scholars.
  • Working knowledge of MylnfoVault, APHID, RECRUIT, iGlobal, MedHub, Outlook, PeopleSoft.
