DESCRIPTION

Physics is a prominent, highly-ranked, and research-intensive department at UC San Diego, with 400+ employees, annual expenditures of roughly $30M, annual course enrollments greater than 16K, and over 140K square feet of space in 8 campus buildings. Research and instructional activity occurs over an unusually broad range of disciplinary areas, including: astrophysics & astronomy, atomic/molecular physics, biophysics, condensed matter physics, controlled fusion & plasma physics, elementary particle physics, nanoscience, and nonlinear dynamics. Research activity occurs both on-campus and in multiple off-campus locations, including: U.S. NationalLaboratories such as Argonne, Lawrence Livermore, and LANL (Los Alamos National Lab);observatories throughout the world; Antarctica; and the Large Hadron Collider at CERN (the European Organization for Nuclear Research) in Switzerland. Research collaborations frequently involve other U.S. and international universities, National Labs, research institutes such as The Scripps Research Institute and the Salk Institute; and/or companies such as SAIC and General Atomics. Sponsored research activities are funded by 40-50 different funding agencies, including NSF, NIH, DOE, DOD, and AFOSR, and include complex multi-disciplinary, multi-institutional, and multi-PI awards. Instruction occurs at multiple levels. With approximately 150 students, the doctoral program has a flexible and broad-based curriculum which leads to a Ph.D. in Physics or Physics with optional specializations in Biophysics, Computational Science or Quantitative Biology. With nearly 600 Physics majors, the undergraduate major program is one of the most productive in the nation. Students may obtain B.S. degrees with optional specializations in Astrophysics, Biophysics, Computational Physics, Earth Sciences, or Materials Physics, or B.A. degrees with an optional specialization in Secondary Education. A special 5-year contiguous program leading to a B.S./M.S. in Materials Physics is also available. Lower division courses allow students to satisfy their general education requirements and serve as foundational courses for students majoring in the sciences and engineering.

Under general direction, the incumbent will provide a full range of administrative and financial support to the Director of the Q-MEEN Center. Incumbent will provide a full spectrum of administrative support to the Center Director, to include but not limited to: assisting with contract and grant proposal preparation and financial oversight, business correspondence, reports preparation, travel coordination and reimbursements, process basic financial transactions, event coordination and will be expected to maintain an office filing system. Incumbent will support the Center Research Administrator to ensure grant award expenditures are tracked and recorded. Utilizing a basic knowledge of the Center's activities, incumbent will respond to a variety of information requests and disseminate information through interpersonal, telephone and electronic communications. Incumbent will be expected to meet frequent and changing deadlines, interact with diverse individuals and perform multiple tasks.

QUALIFICATIONS
  • Previous work experience in an administrative capacity; experience in higher education and/or a research-intensive environment.

  • Previous experience with travel arrangements and/or coordination of conference/seminars

  • Superior organizational skills, including the skills: to independently organize and effectively prioritize own work; to track action items and deadlines for self and others; and to prompt others when action is needed.

  • Superior interpersonal skills, including: the desire and ability to interact effectively and collegially with a diverse group of individuals from varying cultures, ethnicities, and backgrounds; the skill to use tact and diplomacy to accomplish tasks in a timely fashion; the skill to see situations/issues from others' viewpoints; and the ability to act professionally at all times.

  • Superior oral/written communication skills, including a demonstrated written/verbal command of the English language and the skill to communicate effectively with non-native speakers of English.

  • Basic mathematical skills, including the skill to correctly calculate percentages and to apply currency conversion factors.

  • Ability and willingness to comply with laws/policies pertaining to confidentiality, computing security, and data security/usage.

  • Demonstrated ability to exercise good judgment and initiative.

  • Demonstrated ability to pay attention to detail and to produce accurate and timely work despite frequent interruptions. Includes the ability to identify typographical and other errors when proofreading materials.

  • Basic analytical skills, including the skills: to think logically; to find patterns and trends; to recognize anomalies and outliers; to identify the ways in which items/situations are similar (or dissimilar); and to resolve a complex issue into its component parts

  • Demonstrated skill to use typical office tools (e.g., word processing software, spreadsheets, calendaring systems, copiers, scanners) and to learn to use more complex/sophisticated computing software (e.g. graphics software, business intelligence tools, or UC-specific systems).

Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
