The Highlights:

The Clinical Services Coordinator oversees and coordinates the Family & Community Services operations, which include patient intake, appointments, behavioral healthcare billing, invoicing and patient payments, claims submission, continuing education processing, grant proposal coordination, as well as the overall responsibility for the Electronic Medical Record System.

The Clinical Services Coordinator works directly with patients as well as insurance and healthcare providers to coordinate patient care from referral to discharge as well as monitor the processes to get all claims processed, appealed, and paid. Manages clinician and facility credentialing with insurance companies and payers. This position may also serves as a back-up receptionist and support of the front office functions of DePaul Family & Community Services as needed.

What You'll Do:


  • Clinical Care Coordination. Responsible for clinical case documentation, opening and closing cases and reviewing all clinical documentation to ensure everything is needed in order to bill for cases. Responsible for preparing fee for service billing for local school-based grant projects. Responsible for managing utilization review internal auditing. Responsible for consumer satisfaction survey processes and follow up interviews. Responsible for conducting billing audits as part of required accreditation and certification requirements.
  • Software Management/Maintenance. Oversees and manage the Electronic Medical Record system. Responsible for system upkeep and maintenance, working with external parties as needed. Manages system users, upgrades, etc.
  • Claims and Billing. Responsible for all of center's billings/claims. Works directly with the insurance companies, healthcare providers, and patients to get claims processed and paid including verifying patients' insurance coverage, answering billing questions, and coordinating invoicing on unpaid accounts. Responsible for maintaining all medical records, overseeing the student workers functioning in Office Assistant role.
  • Office Management. Responsible for overseeing general office operations for Family Community Services including facility access management, work orders, supplies ordering, student hiring, and front desk staffing. Response for ensuring proper processes for patient intake, tracking, etc. Serves as main support person for the Center's Director in assisting with tracking of clinical hours, fee for service work, grant proposals, medical/grant billings and appointments, etc.
  • Supervisory Duties: Manages front office student workers, front office coverage and delegation of administrative tasks.


What You'll Need:


  • Bachelor's degree, Master's, preferred.
  • 2 years previous office management, healthcare billing, and electronic medical records experience in a medical, behavioral health or social services setting.
  • Must be able to work some evening hours and maintain a flexible schedule.
  • Must be able to work independently and meet deadlines.
  • Must be able to work in a team environment and provide excellent customer service to all stakeholders (clients, staff, faculty, and the community).
  • Advanced computer skills required. Proficiency in Microsoft Office applications.
  • Proficiency in producing data and narrative reports for a professional audience.
  • Excellent organizational and communication skills required.
  • Must be reliable, organized, detail-oriented and capable of working with minimal supervision.
  • Should be comfortable interacting with children, adolescents, and families.
  • Position requires 35 hours per week during office hours; ability to maintain a flexible schedule a plus. Office hours are M-Th 9 am to 7pm, and F - 9 am to 5pm.


The anticipated hiring range for this position is: $26.25 to $30.17

The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
