Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. The position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

About the Position

The Administrative Specialist handles various tasks, such as assisting withmanaging schedules, handling correspondence, organizing meetings, and maintaining records as needed. This position is also responsible for ensuring smooth operations and effective communication within the Division, including assisting with special projects, reports, and presentations, and collecting and preparing information for the Division leadership team. We Require

  • Two years of experience performing office, administrative, and clerical duties

  • High school diploma or GED

  • An equivalent combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

We Also Value

  • Associate's degree or higher in Public Administration, Business, or a closely related field

  • Three or more years of advanced clerical or administrative experience, including providing administrative support in a transportation maintenance facility

  • Clerical experience working in a government agency

  • Experience scheduling/coordinating interviews

  • Experience assisting transportation maintenance supervisor and/or managers

  • Experience in obtaining permits from other municipalities

Job Contributions

  • Answer phones, resolve problems, and provide answers and customer service requests within the scope of authority; route calls to appropriate individuals, and take and deliver messages

  • Provide in-person and telephonic administrative support to various maintenance crews and support services teams by utilizing Microsoft Office suite, Adobe programs, and databases, including but not limited to Cartegraph, SharePoint, and Maricopa County internal systems

  • Compose correspondence and other documents on a wide variety of subjects, requiring knowledge of the procedures and policies of the Department

  • Schedule interviews, provide administrative support for the hiring process, and assist hiring managers and human resources staff with the interview process

  • Order and maintain inventory of supplies and process invoices

  • Assure all administrative actions are in compliance with County policy, procedures, and guidelines

  • Recommend and implement changes for improvements to processes and procedures to ensure efficiency and effectiveness, flow charts, and policy development

  • Performs other duties as assigned or required

Working Conditions

  • This position requires the employee to be in the office/field or customer-facing for all hours worked

  • Exerting up to 20 pounds occasionally, 10 pounds frequently, or negligible amounts constantly, or requires walking or standing to a significant degree

  • Work is performed in an office environment, requires in-person presence, and is not substantially exposed to adverse environmental conditions

  • Will require travel to and from job-related locations during a scheduled workday, subject to County policies regarding the use of County or private vehicles used on County business

  • Modern office practices, procedures, and equipment, business English, grammar, and arithmetic
