Job Description

We are looking for a resourceful, highly organized, and proactive coordinator to join Visa's Global Enterprise and Corporate Affairs Communications & Events organization. Reporting to the Senior Vice President, this role provides full administrative support, including scheduling day-to-day and complex meetings, processing expenses, supporting department operations, and coordinating travel. Additionally, the role offers administrative support for the Vice Presidents of Global Events, Global Enterprise Communications, and Corporate Affairs Communications, including scheduling complex meetings, coordinating travel, and processing expenses.

The ideal candidate will have a strong administrative and planning background and will be looking to develop their capabilities while working in a dynamic, fast-paced environment. The coordinator should be a self-motivated, highly collaborative team player with strong organizational skills and the ability to proactively identify and resolve issues.

Responsibilities:

  • Calendar Management: Assist in the management of executive calendars including scheduling meetings, securing meeting spaces, setting up conference calls, and arranging travel.

  • Logistical Coordination: Plan and manage logistics related to executive travel and executive/team meetings and events (on sites and off sites).

  • Expense Management: Process leaders' expense reports.

  • Event Support: Provide support for events as needed, including planning and on-site assistance.

  • Operations: Support operations lead in maintaining team org chart, distribution lists, assets library, and message archives in accordance with records management requirements.

  • Activity Reporting: Create and maintain weekly/monthly/quarterly department reports that document team activities. Support ongoing communication with team members, including compiling agendas and drafting recaps.

  • Business Communications: Assist with developing and updating executive memos, PowerPoint presentations, Excel spreadsheets, creative campaigns and assets, key messages, and related materials as needed.

This is a hybrid position. Expectation of days in office will be confirmed by your Hiring Manager.

Qualifications

Basic Qualifications:

* Associate: Minimum of 6 months of work experience or a Bachelor's Degree

Preferred Qualifications:

* Associate: 2 or more years of work experience

* Bachelor's degree or equivalent

* 3+ years of work experience working in an administrative role supporting senior leaders

* Strong capabilities in Microsoft Outlook, PowerPoint, Word, and Excel

* Demonstrated experience with calendar coordination and expense management

* Detail-oriented and highly organized with strong project management skills

* Superior verbal and written communications skills

* Outstanding problem-solving skills, able to multitask, and manage competing priorities

* Business maturity and judgment to deal appropriately with sensitive and confidential information

* Composure and clarity to interact with cross-functional teams, senior management, and executives

* Passionate about making things better, e.g., improving processes and increasing efficiency

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 78,400.00 to 110,750.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
