The Correspondence Clerk is responsible for processing and managing incoming and outgoing correspondence related to healthcare payments. This role plays a critical part in supporting hospital and physician billing offices by ensuring timely triage of mail, accurate lockbox designation, and efficient communication flow. The ideal candidate is detail-oriented, self-starter, and thrives in a fast-paced environment where critical thinking and initiative are essential to success.

This position is full time, Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:00am - 5:00pm. It may be necessary, given the business need, to work occasional overtime. Employees are required to work twice a week onsite and some days from home.

We offer 4 weeks of on-the-job training. The hours of training will be aligned with your schedule.

Primary Responsibilities:



  • Triage and sort all inbound correspondence including payer responses, denials, patient mail, and Explanation of Benefits (EOBs)
  • Assign incoming mail to appropriate departments or work queues based on established lockbox designation and payer rules
  • Prepare and send outbound mail including appeals, payment letters, secondary claims, and other correspondence
  • Utilize Office 365 tools (Outlook, Word, Excel, Teams) to maintain communication, documentation, and tracking of correspondence
  • Log, scan, and archive all correspondence using internal systems for audit and retrieval purposes
  • Perform quality checks to ensure accuracy and compliance with payer, HIPAA, and internal guidelines
  • Collaborate with billing, posting, and denial management teams to escalate and resolve issues related to missing or misrouted correspondence
  • Assist in special projects or reports as requested by leadership

Required Qualifications:



  • High School Diploma / GED
  • Must be 18 years or older
  • Proficiency with Office 365 (Outlook, Excel, Word, Teams)
  • Comfortable working with high volumes of documentation and repetitive tasks
  • Ability to work onsite up to twice a week at 4500 Business Center Dr. Fairfield CA 94534

Preferred Qualifications:



  • 1+ years of experience in a medical billing, revenue cycle, or administrative office setting
  • Knowledge of EOBs, lockbox processing, or payment posting workflows
  • Familiarity with document scanning software and billing platforms (e.g., Epic, Cerner, or similar)

  • Ability to keep all company sensitive documents secure (if applicable)
  • Required to have a dedicated work area established that is separated from other living areas and provides information privacy.
  • Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service.

The hourly range for this role is $23.70 to $46.35 per hour based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
