A Day In The Life As the first point of contact for guests, visitors, and callers, this role is essential in shaping a positive perception of our campus by delivering exceptional hospitality and guest services and serving as the heart of our brand. As a Campus Events Coordinator you will:
- Reception & Guest Services
- Staff the reception desk: greet/credential VIPs & guests, issue temporary badges, address questions and concerns.
- Operate the main telephone switchboard during business hours (remotely if the building is closed).
- Log all building visitors, issue passes, and maintain security.
- Monitor lobby cleanliness and Coffee Bar supplies.
- Enforce building policies and report issues as needed.
- Act as onsite contact for immediate meeting/conference room needs (e.g., temperature control, cleanup, additional furniture/supplies).
- Coordinator Responsibilities
- Manage internal meeting and event requests, updating the master hospitality calendar daily.
- Monitor hospitality email inbox and respond timely.
- Coordinate and confirm catering requests.
- Communicate setup details to custodial team as needed.
- Support executive meetings.
- Event Support
- Assist in planning and executing internal special events, including idea development, purchasing, signage, and decor.
- Handle purchasing tasks: vendor setup, supplies, payments, and expense reports.
- Manage small meeting contracts individually or in collaboration with Event Specialists or Procurement.
- Other duties as assigned.
What We Need From You
- High School Diploma Req
- 1-3 years related experience and/or training; or equivalent combination of education and experience Required
- Excellent written communication skills. (Medium proficiency)
- Exceptional organizational skills (High proficiency)
- Ability to multi-task and manage competing priorities. (Medium proficiency)
- Excellent customer service and interpersonal skills (High proficiency)
- Ability to apply common sense. (Medium proficiency)
- Demonstrated skill with Outlook, Word, Excel and PowerPoint. (Medium proficiency)
Physical and Environmental RequirementsThe physical requirements described here are representative of those that must be met by an associate to successfully perform the essential functions of the job.
