Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. The position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

About the Position

Are you an experienced Legal Secretary who can prepare legal documents, briefs, petitions, and memoranda quickly and accurately? Are you organized and an effective communicator? If so, you are just the candidate we are looking for to join the team as our newest Legal Secretary!

As a Legal Secretary, you will have the opportunity to help clients charged with a criminal offense, or placed on a court order for treatment, have a chance at justice and you will play a critical role in assisting attorneys and clients with their post-conviction proceedings. You will work side-by-side with attorneys and their teams to ensure our clients receive the best possible representation.

This position will initially be assigned to fill a current Legal Secretary vacancy in the Appeals and Post-Conviction Relief unit.

We Require

  • Two years of experience in a legal setting with knowledge in legal preparations and legal proceedings

  • High school diploma or GED

We Also Value

  • Experience working as a Legal Secretary in a law office or indigent defense setting

  • Practice working with case management systems such as ICiS, JuNe and/or Justware

  • Intermediate Bilingual (English/Spanish) skills

Job Contributions

  • Prepare legal documents, briefs, petitions, and memorandafrom written copy, oral and/or mechanical dictation in a fast-paced environment

  • E-file motions, briefs, and legal memorandawith the court

  • Schedule meetings, interviews, and legal calls for attorneys

  • Take and effectively communicate messages from clients and others to attorneys

  • Coordinate case files and calendars; organize, prepare for scanning, and close files

  • Assist with creation of trial materials; photocopy documents, correspondence, notebooks, books, motions, briefs, files, and other confidential materials

  • Access information electronically and update internal case tracking systems; uses internal case tracking systems and intra/internet to answer questions for attorneys, staff, and clients

  • Serve as backup to the receptionist, which includes answering a multi-line telephone, taking messages, and screen/transfer calls

  • Other duties as assigned

Working Conditions

  • All work is performed in an office environment

  • Ability to work with traumatic subject matter (crime scenes, accidents, etc.) and work in an environment with frequent interruptions, time pressures, high volumes of work, handling multiple or complicated tasks, unscheduled tasks, frequently changing tasks, accuracy, decision making, concentration/vigilance, teamwork, working in close physical proximity with others, and public contact

  • Ability to meet daily deadlines and produce accurate work

  • Ability to lift, carry, or push up to 35 pounds for 200-300 feet

  • Work requires travel to and from job-related locations during a scheduled workday, subject to County policies regarding the use of County vehicles and/or private vehicles used on County business

  • Ability to project an effective and professional persona on the phone and in person
