The firm seeks a full-time employee with experience in intellectual property and trademark maintenance who is interested in developing a long-term relationship with the firm. The Intellectual Property Administrator is responsible for working with domestic and international legal and client teams within our litigation, corporate, and pro bono practices as an integral member to help administer our clients' trademark portfolios. The ideal candidate is highly detail oriented, possesses a strong and committed work ethic, is dedication to accuracy and thoroughness, and provides proactive and effective legal support in a fast-paced environment.

Responsibilities include but are not limited to:

Client work

  • Prepare and submit electronic filings utilizing systems provided by US Patent and Trademark Office (TEAS, TTAB, Assignment Center), US Copyright Office, and WIPO (Madrid System)
  • Liaise with clients and local counsel to file trademark applications, maintenance, renewals, and assignments in foreign jurisdictions; assist with document preparation as needed, including execution of signature pages, coordinating legalization, and distribution to local counsel
  • Maintain precise docketing, follow-ups, and reminders, including

    • Review and circulate to attorneys weekly deadline reminders
    • Manage firm's trademark database docketing process, coordinate with internal docketing specialist to ensure entries are input accurate and timely
    • Maintain USPTO tracking monitor (IP Badger), review and forward updates as appropriate


  • Assist with trademark clearance search requests and orders
  • Review and circulate communications from USPTO, USCO, WIPO and foreign counsel; review trademark practice inbox and respond or forward to appropriate resource for resolution
  • Monitor and provide updates regarding client status in connection with post-registration filings


IP Practice support

  • Develop practice area expertise and act as a trusted resource for attorneys and clients
  • Establish and maintain repository of practice area models, templates, and precedents
  • Ensure the practice group's internal webpage is kept accurate, relevant and aligned with firm branding
  • Assist with business development efforts
  • Contribute to and help coordinate IP practice trainings
  • Manage practice group's internal email distribution lists
  • Liaise with foreign counsel to review and process invoices related to overseas trademark prosecution and conflicts
  • Maintain USPTO and USCO Deposit Accounts


Firm support

  • Develop professional relationships with clients and local counsel
  • Communicate and interact with clients, vendors, third party administrators, partners, associates and firm staff at all levels in a professional manner
  • Perform other duties or special projects as assigned in response to changing business conditions or requirements


REQUIREMENTS:

  • Minimum five years of trademark experience in a law environment
  • Strong knowledge of U.S. and foreign trademark prosecution and maintenance processes and procedures
  • Ability to manage multiple projects, prioritize work and meet deadlines in a fast-paced environment
  • Team-oriented mindset as well as the ability to take ownership of and complete tasks without direct supervision
  • Interpersonal skills enabling successful and professional communication
  • Strong attention to detail and organizational skills
  • Excellent data entry, proofreading, and reading comprehension skills
  • Adept with trademark specific and common office applications
  • Ability to work overtime and travel when needed
