Clinic/Practice Assistant Sr.

Under the general supervision of the Practice Manager, the Clinic/Practice Assistant Sr. provides support within an Ambulatory Practice setting. Drawing on a broad understanding of Hospital practices and policies and displaying a high degree of initiative, the incumbent will handle a wide range of tasks and responsibilities. Works with all physicians, residents, nurses, NP's and other clinical staff members to ensure a quality-based work flow throughout the department of Radiation Oncology.
Provides support to multiple physicians in a busy clinic setting
Performs all front desk check in/check out functions (including insurance verification and copay collection)
May be required to get prior authorization for scan before booking
Runs daily schedules in Mosaiq
Arrive and queue patient in Mosaiq for Consults and Follow up appointments
Present and explain HIPAA and MaHighway documentation for patient signature
Ensures compliance with Rad Onc wristband policy and patient identification
Schedules patient transport and pickup for inpatients in Epic using the Patient Transport Tracking module
Prepare parking vouchers for patients
Schedules translators for patient appointments
Calls the inpatient floors to confirm patient treatment and transport times every morning
Answers multiple busy phone lines
Scans miscellaneous documents, including patient consent forms into Epic
Triage prescription renewals, print LMR medication lists, faxing, scanning of patient material
Responsible for all FD "inbasket" pool emails through Epic
Assist with reminder calls
Assist with managed care authorizations and Epic workqueues
Coordinates the workflow and schedules with the department to insure an efficient daily operation.; including scheduling physician and NP appts, interpreters, chemo disconnects, nutrition appts
Works to ensure HIPAA Confidentiality and Privacy Policies are fully implemented.
Assists with special projects as required. Projects may include such topics regarding billing, charge entry, compliance and/or Operations Improvement Initiatives.
Cross trained for Lunder LL2, Lunder LL3, Proton or Cox LL front desk coverage.
Performs special projects as requested, that are unit specific and that are appropriate to this level of position that are not listed in this job description.

Education
High School Diploma or Equivalent required

Knowledge, Skills and Abilities
- Strong technology and MS Office skills - Advanced Outlook, Word, Excel, PowerPoint Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
- Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
- Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
- Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
- Managing one's own time and the time of others.
- Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
- Ability to proofread and edit written documents.
