Summary: The Project Management Specialist will organize coordination, and public relations management are crucial to effective staff coordination, enabling the separate branch chiefs of the G-1 office to produce a unified staff product to the G1 and support senior headquarters staff. Project Management includes experience with Microsoft Office software and extensive social media functions on behalf of G1.
Responsibilities
Essential Job Functions:
- Shall manage, synchronize, and de-conflict calendars to support readiness events for the G-1 with all GAARNG organizations. Calendar updates shall be completed weekly, ensuring 100% accuracy in scheduling and conflict resolution.
- The contractor shall compile and distribute weekly slide presentations, coordinating with branch chiefs and ensuring compliance with professional standards. Presentations shall be distributed no later than the close of business each Friday.
- The contractor shall perform statistical analysis on collected data to summarize qualitative and quantitative information for decision-making and performance measurement. Analysis reports shall be submitted to the G1 within 5 business days of request, achieving 98% accuracy.
- The contractor shall coordinate monthly locations for statewide conferences, execute site preparations, and synchronize all products to be used during the event. Coordination shall be completed 10 business days prior to each conference.
- The contractor shall coordinate and support transition events, quarterly Soldier Readiness Program (SRP) events, promotions, G-1 sync meetings, and other state G-1 events. Event support shall be documented and reported within 3 business days of event completion.
- The contractor shall prepare, compose, update, and edit internal and external correspondence, forms, and reports. Deliverables shall meet professional standards and be submitted within the timelines specified by the G1.
- The contractor shall prioritize and track time-sensitive events and suspense dates to ensure timely completion of tasks. Updates shall be provided weekly to the G1 with a 98% on-time completion rate.
- The contractor shall input, retrieve, and store data for reports using approved systems. Data management tasks shall be completed within 2 business days of request, achieving 98% accuracy.
- The contractor shall create graphic presentations to support office operations. Presentations shall be delivered within 3 business days of request and meet professional standards.
- The contractor shall research, compile, analyze, and summarize data to provide accurate information for briefings, reports, presentations, and meetings. Analyses shall be completed within 5 business days of request.
- The contractor shall provide coordination support for the G-1 plans section. Coordination tasks shall be completed within 3 business days of request, achieving 98% compliance with planning objectives.
- The contractor shall coordinate conference calls between headquarters staff and subordinate elements of the organization. Calls shall be scheduled within 2 business days of request, with 100% compliance with schedules.
- The contractor shall provide administrative assistance for quarterly SRP events as needed. Documentation of support activities shall be submitted to the G1 within 3 business days of event completion.
- The contractor shall use various software programs to maintain database files and prepare reports, including spreadsheets, briefings, charts, and graphs. Deliverables shall be submitted within the required timelines with 98% accuracy.
- The contractor shall process and maintain all administrative records while safeguarding sensitive information. Records shall comply with DoD data protection standards, with no instances of data loss or breaches.
- The contractor shall ensure office space is maintained in a professional appearance. Inspections shall be conducted weekly, with 100% compliance with appearance standards.
- The contractor shall manage and oversee social media content across Facebook, Twitter, Instagram, YouTube, and other platforms, posting daily updates. Content shall align with the G1's public relations strategy and achieve a 95% engagement rate.
- The contractor shall develop, implement, and manage social media strategies to promote brand awareness and engagement. Strategies shall be submitted quarterly to the G1 for approval.
- The contractor shall collaborate with copywriters and designers to ensure social media content is informative and visually appealing. Content drafts shall be submitted for review within 2 business days of request.
- The contractor shall measure the success of social media campaigns using web traffic metrics and engagement analytics. Reports shall be submitted monthly to the G-1, achieving 98% accuracy.
- The contractor shall monitor user engagement and recommend optimizations for social media content. Recommendations shall be submitted bi-weekly to the G-1.
- The contractor shall define key performance indicators (KPIs) for social media platforms, focusing on engagement, reach, and brand awareness. KPIs shall be updated quarterly.
- The contractor shall perform coordination and administrative functions, including researching information, compiling data, preparing reports, and responding to customer service inquiries. Tasks shall be completed within 2 business days of request.
- The contractor shall manage the organizational assessment 11-2 program within the G-1. Updates and progress reports shall be submitted quarterly to the G1.
- The contractor shall provide mobilization support, including travel arrangements, for G1 operations. All support activities shall be documented and submitted within 5 business days of task completion.
- The contractor shall develop and implement a comprehensive social media strategy aimed at increasing brand awareness. Strategies shall be shared with the G1 quarterly, with 98% compliance in execution.
Qualifications
Necessary Skills and Knowledge:
- Strong written and verbal communication skills
- Detail-oriented with excellent organizational abilities
- Experience working with Microsoft Office Suite (Excel, Word, PowerPoint), Google Suite, and project management software.
- Strong analytical skills with the ability to synthesize information and present data in a clear, concise format.

- Ability to handle sensitive information confidentially and in accordance with data protection regulations.
Minimum Qualifications:
- Bachelor's degree in Business Administration, Project Management, Communication, or related field (or equivalent experience).
- Minimum 3-5 years of experience in project coordination, event planning, or administrative support in a corporate or government setting.
- Experience in coordinating, scheduling, and managing meetings, conferences, or large events.
- Experience with social media management and public relations, including content creation, strategy development, and analytics.
- Proven track record of working under pressure to meet deadlines and handling multiple tasks simultaneously.
- Must be a US Citizen
- Active Secret Security Clearance.
