Sales Operations Supervisor

Description

The Sales Operations Supervisor oversees and coordinates daily operations to support the sales department's objectives within a multi-branch region. The position works closely with various departments, including Regional Sales Managers, Sales Reps, Sales Operations Managers, the Heavy Rental and Sales Operations Team, as well as marketing, service, and parts, to ensure adherence to processes and policies, meet financial targets, and maintain customer loyalty. The incumbent is also expected to model key behaviors, such as collaboration, commitment to company values, and ongoing self-development.

The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development.

Essential Functions:



  • Sales Coordinator Subject Matter Expert: Acts as the local expert on sales coordinator roles and responsibilities, ensuring proper training, compliance, and regular audits across all branches in the region.
  • Retail Customer Experience (RCE) Support: Works with sales, inventory, and marketing teams to maintain appropriate stocking levels of machines and work tools and ensure effective point of sale merchandising.
  • Policy Training and Auditing: Provides continuous training and audits on all sales and rental operations policies and procedures to ensure compliance.
  • Team Development and Hiring: Assists with hiring and development of the sales and rental coordinator team, evaluates team performance, and promotes productivity and teamwork to ensure Legendary Customer Service (LCS).
  • Values-Based Leadership (VBL) Application: Models, promotes, and rewards the use of HOLT's Values-Based Leadership tools, ensuring alignment with the company's Vision, Values, and Mission.
  • Expense Control: Assists coordinator teams in minimizing goodwill and product health loaner expenses by ensuring proper loaner processes and resolving discrepancies with sales coordinators, warranty departments, and service teams.
  • Business Process Guidance: Provides guidance to sales coordinators to ensure accurate and timely administration of key business processes, including reporting and reconciliation tasks such as No Charge, Extended Reservation, and Cat Commercial Billing reports.
  • Rental Business Growth: Works to enhance the rental business by ensuring phone coverage, training on rental sourcing and logistics, and collaborating with yard, service, inventory, and transportation departments to ensure rental availability.
  • Safety Compliance: Follows safety policies and ensures adherence to company policies, procedures, and standards always.
  • Other Duties: Performs any additional tasks as assigned by leadership.



Knowledge, Skills, and Abilities:



  • Industry Knowledge: Expertise in compact and heavy construction equipment, work tools, and configurations in diverse applications.
  • Business Acumen: Understanding of business accounting principles, ideally in a construction dealership environment.
  • Communication Skills: Strong verbal, written, and interpersonal communication skills, with the ability to manage conflict professionally.
  • Technical Proficiency: Advanced knowledge of MS Office Suite (Excel, PowerPoint, Word) and the ability to quickly master new software and applications.
  • Customer Service: Proven ability to manage customer relationships, maintain professionalism, and resolve issues effectively.
  • Time Management: Strong organizational skills with the ability to handle a complex workload and prioritize effectively.
  • Problem-Solving: Capable of identifying complex problems, reviewing related information, and implementing appropriate solutions.
  • Reporting and Budgeting: Ability to prepare reports, maintain records, and manage budgets effectively.



Education and Experience:



  • Experience: Minimum of five years of relevant work experience in a similar role or industry.
  • Education: High school diploma or equivalent required; Bachelor's degree in a related field preferred.


Supervisory Responsibilities:



  • Responsibilities include, but are not limited to interviewing, hiring, and training employees; planning, assigning, and directing work; coaching and development; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.


Travel:



  • Up to 50% travel within the region, including occasional overnight trips.



Physical Requirements:



  • Mobility: The role involves standing, walking, occasional kneeling, crouching, and stooping. Ability to lift and move materials or equipment weighing up to 25 lbs.
  • Dexterity and Coordination: Must possess good manual dexterity, coordination, and stamina.
  • Visual and Auditory: Must react to visual and auditory signals, including alarms and instructions, and be capable of visually inspecting work.
  • Climbing: Ability to ascend/descend ladders using both hands and feet.


Work Environment:



  • Office Environment: Generally performed in a professional office setting with controlled environmental conditions.
  • Outdoor Work: Occasional exposure to outdoor conditions such as inclement weather, heat, cold, and humidity.
  • Fast-Paced: Frequently works in a fast-paced environment with unscheduled interruptions.
