Description of Job

The Procure to Pay department at Colorado School of Mines provides the following services: Accounting, Accounts Payable, Student Accounting & Billing, Contracting & Procurement and Payroll & Employment to the Mines community and its numerous off-campus partners in support of the University's mission. This support is governed by the key principles of customer service, regulatory compliance and fiscal accountability.

The candidate we select must be able to exercise sound judgment and make decisions independently. The right person has experience providing excellent customer service via face-to-face interactions, telephone and email and should possess outstanding attention to detail, organizational, problem solving and interpersonal skills, along with proficiency with word processing and spreadsheets.

Travel Expense Reporting duties include:

  • Responsible for Initial preparation of travel and expense reports. Exhibit knowledge of Federal regulations governing travel and Mines Financial Policies in order to interpret and enforce them appropriately as it pertains to travel management for Mines.
  • Review the expense, receipts, and account codes to ensure correctness & university compliance and ensures proper approvals have been obtained prior to granting final approval and inputting reimbursements into the Finance System.
  • Create and review spend authorization requests.
  • Assist campus /card holders to reconcile there onecard charges in Workday
  • Provides a high level of customer service by answering questions, training and informing the campus community of the procedures and laws governing travel.
Accounts Payable /Credit card processing duties include:
  • Manage the processing and tracking of invoices received from vendors and suppliers. Verify invoice accuracy, obtain necessary approvals, and ensure timely payments.
  • Process payments at the request of the department. This includes but is not limited to reviewing backup documentation for appropriateness, completeness, correctness, and funding availability.
  • Assist campus to reconcile there one card charges in Workday
  • Review backup documentation, expense codes, and necessary approvals.
  • Provide timely and helpful support to employees regarding expense reporting, reimbursement procedures, and invoice inquiries. Address any issues or discrepancies promptly and professionally.

ACCOUNTING TECHNICIAN III

MINIMUM QUALIFICATIONS:

Experience Only:
  • Three (3) years of relevant experience in an occupation related to the work assigned to this position which included
    1. Technical accounting experience and
    2. The use of financial/accounting systems and/or travel and expense systems.
  • Part time work will be pro-rated.

OR

Education and Experience:
  • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years. If you are substituting coursework for any of the required experience, you must attach your transcripts for this coursework.

PREFERRED QUALIFICATIONS
  • Prior relevant state experience
  • Prior experience with Workday
  • Prior experience interpreting travel policies and preparing travel expense reports
  • Prior experience in higher education
