Overview

The Opportunity

We have an exciting opportunity for a Legal Administrative Coordinator that will assist the Walbridge legal team in their support of the company and construction projects in the United States and internationally. The Administrative Coordinator will play a critical role in managing day-to-day administrative tasks, coordinating legal documentation, and communicating with various stakeholders. Responsibilities will include scheduling meetings, preparing reports, and maintaining detailed records. The ideal candidate will have exceptional organizational skills, the ability to work independently, and excellent verbal and written communication skills. Experience in the construction industry and familiarity with legal terminology are preferred.

Responsibilities

Your key responsibilities

    Document Preparation Assistance: Assisting in preparation of supporting documentation necessary for a variety of business visas, non-immigrant, and immigrant employment related applications.
  • Communication Generation: Generating standard communication, and certified mail, regarding status of contracts, insurance requirements, withdrawal of liability letters, and bond verification letters.
  • Contract Support: Assisting in the preparation and finalization of contract forms and amendments to contracts. Update contract templates for new construction projects, revision of riders on subcontracts, and workflow tracking logs.
  • Tracking and Cataloguing: Tracking and cataloguing non-disclosure / confidentiality agreements, W9s for new vendors, and other internal documentation. Coding and tracking expenditures with outside law firms.
  • Record Maintenance: Assist with maintaining legal department SharePoint site and updating status reports.
  • Invoicing: Process invoices and check requests.
  • Assist Cross-functionally: Assist cross functional team tasks for other departments as needed including working with risk management to upload financials for vendors into CMiC.


Qualifications

To qualify for the role, you must have

  • 4 years of experience in a business environment, education, or government.
  • Proficiency in Microsoft Word, Excel, and Adobe Reader and Writer.
  • Proficient writing and communicating skills.
  • The ability to work in a team environment, interface with different corporate departments and able to manage multiple tasks at the same time is critical.

Ideally, you'll also have

  • 2+ years of relatedexperiencein a legal function.
  • Ability to read and understand contract documents.
  • Proficiency with internal business software and databases, including SharePoint and CMIC.
