Description

SUMMARY

Hallmark Media's Brand Marketing group is looking for an Administrative Assistant to support the SVP, Brand Design and Creative, SVP, Brand Marketing and SVP, Brand Creative executives. The ideal candidate will have a passion for assisting creative executives, and be an organized, detail-oriented person, who can easily handle the coordinator duties listed below, working under the guidance of the SVP, Brand Design and Creative. This will be a great opportunity for a seasoned Administration Assistant to be part of a growing entertainment brand.

In this position, the Administrative Assistant will possess extremely strong managerial, and organizational skills. In addition, they should have a sense of urgency, eagerness to take initiative, resourcefulness, and strong interpersonal communication skills. The Administration Assistant will interact with internal and external executive assistants in addition to regularly working with vendors and internal teams companywide.

ESSENTIAL DUTIES AND RESPONSIBILITIES




  • Create and maintain a variety of internal electronic files that include but not limited to schedules, calendars, meeting agendas, and various PPT's.
  • Coordinates in-person and virtual meetings.
  • Books and schedules travel.
  • Prepares travel and general expense reports using Concur.
  • Assists in scheduling and preparing team events and meetings.
  • Prepares and sends correspondence as needed.
  • Assist and prepare occasional PPT decks.
  • Tracks premiums inventory, organizes, and ships packages as needed.
  • Prepares and sends packages as needed via mail or messenger service.


Qualifications

BASIC REQUIREMENTS




  • 3+ years of experience supporting executives in the entertainment industry preferred.
  • Prior experience supporting multiple executives a plus.
  • Expert knowledge with Microsoft Word - Excel, PowerPoint, and Outlook.



OTHER REQUIREMENTS




  • Excellent verbal and written communication skills.
  • Must be self-directed and extremely well-organized.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Must be able to work under time constraints.
  • Ability to multi-task and juggle competing priorities between three executives and their support staff.
  • Knowledge and passion for our brand.
  • You are a team player with a positive attitude and thrive in a collaborative work environment.
  • Good communication and interpersonal skills capable of maintaining strong relationships.
  • Strong organizational and multi-tasking skills.
  • Documentation management skills.
  • Attention to detail even under pressure.
  • Time management skills with the ability to meet deadlines.
  • Excellent and articulate communicator/partner who proactively seeks out information when necessary.



The salary range for this job is between $18.66- $24.86. Salary rate will take into consideration several factors including location.
